Our client is a not-for-profit organisation that owns and operates a network of aged care facilities across Victoria, also providing a range of in-home, disability and respite care services. With its head-office in Melbourne's inner south east, the organisation is undergoing a face-lift and restructure, led by a very warm, people oriented and collaborative CEO. The Role
The CEO is in need of a professional EA who can provide proactive and efficient support to keep her busy schedule on track. As the first point of contact for the CEO's office, you'll need a high level of organisation, influencing and communication skills as you build and maintain effective relationships and become the conduit between the CEO and her executive level stakeholders. This is a busy environment undergoing a positive 'facelift' across the whole business, so while no two days will be the same, your day-to-day responsibilities will include:-
- Effective and efficient management of the CEO's busy diary and inbox
- Preparation of correspondence for the CEO
- Coordination of Executive meetings, including agendas, minutes and action items etc
- Coordinate Executive team retreats and planning days
- Minute taking, document compilation and report writing
- Undertaking various projects at the CEO’s direction
- Managing CEO events, including catering, guest speakers, gifts, guest lists, invitations, and RSVP's etc
- Work collaboratively with the Marketing team on event management involving the CEO and Board
- Support the preparation and delivery of Board and Committee papers and associated documentation as required
- Represent the Office of the CEO and the wider organisation in a warm, professional manner at all times.
This is a busy, senior role requiring strong EA experience. We're looking for someone who is comfortable liaising with a range of stakeholders and who can reliably act as the go-between for a hard working, high achieving team. With demonstrated experience in preparing agendas, taking minutes of meetings and managing diaries etc, you'll also have the ability to take initiative with tasks and projects, and will be able to juggle conflicting priorities and timelines. Advanced skills in MS office essential.
