Who we are looking for?

We are seeking a strong administrator/communicator to join our team as the Enrolments and Stakeholder Liaison Administrator

To be successful in this role requires strong interpersonal skills, confidence on the phone and in person, and the ability to communicate warmly with families as you invite them to explore Montessori education.  You’ll have experience and a proven track record of excellent customer relations, including sales and meeting sales targets.

This is currently a full-time position. 

Term time working hours will be 8.00am-4.00pm.  Non term time hours can be more flexible with working from home arrangements.  We are happy to negotiate conditions of employment with the right candidate including permanent part-time.

What does the role involve?

You will be responsible for managing enrolment enquiries and implementing sales strategies and activities to build student enrolment for our various programs. You will act as the liaison point between prospective parents and Stakeholders.

Job Description/responsibilities

  • Primary point of contact for all matters relating to enrolments
  • Host school tours and follow-up with families
  • Ensure effective flow of systems for enquiries, tours, applications and offers of places
  • Assist with successful internal student transition processes by effectively communicating relevant information between staff and families
  • Manage and maintain student records to standards expected for all regulatory authorities- Pre-school and Primary school
  • Organise school events and activities with a flair and alignment with Montessori philosophy
  • Reporting to the Executive Assistant to the Principal, you are responsible for weekly enrolment updates and forecast numbers. 
  • Working with EA & leadership on strategic initiatives to increase admissions/enrolments
  • Produce enrolment forecasts for the Principal and Business Manager
  • Provision of timely and regular reports to senior leadership team and relevant stakeholders with up-to-date statistics and analysis of student enrolments
  • Collaboration with Parent/Community Team

A typical day

Our Enrolments and Stakeholder Liaison Administrator’s day starts when students arrive on campus. You will assist at front of house, greeting families, accompanying potential students to orientation days, answering queries and following up enquiries as part of the onboarding process.

When booked, you will show potential families the FMS way, hosting school tours so they can experience the Montessori philosophy and our school in action.  You will have many conversations with families about Montessori education, the programs we offer and the benefits for their children.

This role will involve all administrative tasks, following all applications for enrolment, including data input to our student management systems, testing and passing on details to Principal/ relevant parties for approval.

At peak admissions periods, you will take part in fairs/expos, orientations and open days. These are exciting times to meet future families of FMS and ensuring the best choice of school is made to suit their child/ren, aligned with the Montessori philosophy.

Internal stakeholder relations including attending Community Team meetings with parents and assisting event planning, including our internal calendar of events such as parent education, Mother/Fathers and Grandparents’ Days and other events that bring external parties into the school.

EXPERIENCE AND SKILLS

  • Minimum high-school/HSC (12 formal years of education) 
  • Diploma/ Bachelor degree qualification is preferable
  • At least three (3) years of relevant administration and customer service experience
  • At least two (2) years of relevant sales experience, exceeding targets
  • Proven track record in database management
  • Working experience in the education industry is preferred
  • Excellent written, verbal and face to face communication skills
  • A warm demeanor and can-do attitude is a must!
