The Company:

This fantastic Association represents a large group of members right across Victoria. This Association has many subcommittees to represent different projects and policies for their members. This role will be working with one of the newer subcommittees while also working with the larger association on large annual events. They are looking for an Events and Sponsorship Coordinator to join their team on a 6 Month Contract, with the possibility to extend.

The Role:

The Events and Sponsorship Coordinator is responsible for the management of partnerships with both internal and external stakeholders in the design, delivery and evaluation of major events. This role is also responsible for the design, delivery, and evaluation of over 20 events/activities in conjunction with other team members.

Key responsibilities will include:

  • Working in partnership with relevant internal and external stakeholders to scope event requirements, desired outcomes, budget and roles and responsibilities of all stakeholders involved
  • Administering the event management system to create event websites and manage registration processes
  • Sourcing and booking appropriate venues to cater for events ranging from small meetings to large conferences, with a delegate range of 5-500pax
  • Sourcing and booking suppliers and contractors including but not limited to caterers, exhibition hire companies, designers, photographers, tech and audio-visual specialists and entertainment
  • Sourcing and booking master of ceremonies, guest speakers and facilitators and liaising with them as required
  • Managing event budgets including monitoring income and expenditure, raising purchase orders and invoicing
  • Working in partnership with the communication team to promote and market events to target audiences
  • Coordinating events on the day, and provide support and assistance to event owner, exhibitors, sponsors, and delegates
  • Evaluating event outcomes through feedback surveys, focus groups, retrospectives, and other appropriate evaluation tools
  • Sourcing appropriate sponsors and exhibitors for events/activities
  • Assisting in the management of sponsorship procurement and relationship building (on/off site) and liaising with them as required
  • Liaise with accounts staff to manage event/project expenditure & revenue
The Candidate: The ideal candidate will have demonstrated experience in event management and sponsorship, ideally within a membership-based association. Exceptional written and verbal communications skills are essential, and excellent negotiation and conflict resolution skills are highly desirable.
  • Proven ability to build and maintain positive and collaborative working relationships with internal and external stakeholders
  • Exceptional time management and organisational skills with excellent attention to detail and the ability to manage competing priorities and meet deadlines
  • Critical thinking and problem-solving capability with the ability to take initiative, think outside the box and provide innovative concepts and solutions
  • Proficiency in event management systems such as Cvent, Eventbrite or similar
