About Us:The Law Institute of Victoria (LIV) is the state's peak body for lawyers. The LIV is a non-profit organisation dedicated to its members and the development, maintenance and the sustenance of the law for the benefit of the community.About the Role:The Member Knowledge and Learning (MKL) Business Unit aims to provide quality integrated knowledge & learning experience that educates LIV members and the broader profession. The purpose of the Event & Sponsorship Coordinator role is to
  • Manage end-to-end sponsorship deliverables for LIV activities.
  • Assist with the coordination and implementation of activities and events including seminars, workshops, conferences, panel discussions & networking activities.
Key Responsibilities Include:
  • Coordinate and track of sponsorship benefits for LIV events; ensure central documentation for the operations teams to deliver benefits.
  • Collate commercial partner logistics in preparation of delivery of benefits at events.
  • Prepare and distribute sponsor briefing documentation prior to events.
  • Set-up and manage sponsor deliverables on the event day via all planned modes of delivery- onsite, online and hybrid.
  • Coordinate and collate post-event reporting and analytics to demonstrate return on investment for commercial partners.
  • Collaborate with the commercial team to ensure revenue growth and meet sponsor expectations.
  • Coordinate the delivery of activities for the LIV’s professional education program and other networking, social and executive events.
  • Liaise with internal and external stakeholders with respect to activity requirements including external venues, speakers, suppliers, sub-contractors, LIV members, and
  • Prepare and track multiple income & expenses reports.
  • Develop and maintain knowledge of LIV calendar of activities to support prompt handling of enquiries and the provision of efficient customer service.
  • Update and maintain member database (IMIS).
  • Contribute to the consistent improvement and development of internal procedures and manuals.
  • Comply with LIV information sharing and records management policy and procedures.
To be successful in the role:Essential:
  • Diploma level qualification in Event and Sponsorship Management, and/or,
  • Demonstrated experience in event and sponsorship delivery.
  • 1-2 years’ experience in event and sponsorship Coordination.
  • Be flexible and responsive and follow up.
  • Strong and accurate communication skills, both written and verbal, to engage and build strong relationships with a broad range of stakeholders.
  • Strong technical skills in using Office 365, (Word, Excel, PowerPoint), IMIS (or other CRM databases), videoconferencing software like Teams and Zoom and quick to adapt to new technology and technical skills.
  • Strong time management skills and ability to manage conflicting priorities and work to deadlines.
  • Demonstrates initiative to improve business outcomes.
  • Excellent attention to detail and accuracy.
  • Proven ability to work effectively with a high degree of initiative, both independently and collaboratively in a team-based environment.
  • Commitment to provide high quality service standards with a customer (member) focus.
  • Extensive experience in customer service, relationship management with the ability to work autonomously and collaboratively to effectively support a team across a wide variety of activities.
