Job description

Do you want to make a difference to homeless people’s lives?  Havelock Housing is a market leading Canberra based charity providing homeless people with a place to sleep, care and respect.  A vital function of the Havelock team is Corporate Services to ensure organisational compliance, governance and administrative functions are met enabling support to the homeless.

Position Overview

The Executive Administrator contributes to ensuring the professional operation of the Havelock Housing Ltd Office working closely with the Head of Corporate Services (HoCS).

The role requires an organised, solution oriented person who enjoys supporting a high performing office as  well as being involved in a dynamic environment with a purpose.  You will need to have a great suite of classic EA skills and experience including a wide-ranging administrative support, governance, event and project coordination background.  Effective verbal and written communication and an ability to deal professionally with a range of internal and external stakeholders will be essential.

Key responsibilities will include

  • Provide high level executive and administrative support to the HoCS.
  • Support HHL by providing governance, project and administrative support in a diverse range of areas.
  • Support business sustainability by assisting with the development, review and updating of HHL’s Compliance and Risk Framework, including the Business Continuity Plan and Disaster Recovery. 
  • Support HoCS to manage risk and compliance by identifying and reporting on risk, compliance and registration breaches, complaints, and areas of improvement. Assist with the review and updating of HHL’s Risk Register.
  • Support HoCS to imbed a culture of compliance, risk management and continuous improvement by assisting to coordinate internal audits of the compliance and risk frameworks, policy and procedures and ensuring recommendations for improvement are communicated and actioned by the relevant areas of the business. 
  • Provide internal support for external communications, marketing and fundraising partner. Assist to deliver content for social media channels and activities.
  • Support implementation of the WHS framework to ensure HHL compliance with contemporary practices and legislative requirements. 
  • Support HoCS to manage and maintain currency with all policies and procedures.   
  • Assist with development of Governance reports and HR contracts.
  • Provide support with the management of insurance responsibilities, reporting of all claims/potential claims and maintaining incident register. 
  • Provide administrative support to the finance team as required.
  • Provide general support to the HoCS and CEO in the delivery of key activities of the organisation.
  • Manage and support HHL project activities as directed by the HoCS.

Qualifications and Experience: 

  • 2 + years’ experience in a comparable role 
  • High digital literacy with demonstrated ability to use the Microsoft Office Suite (Word, Excel, Outlook, Teams)
  • Holder of, or ability to hold an ACT Working with Vulnerable People and to pass an Australian Federal Police Criminal Record Check
  • Current ACT driver’s licence.
