Executive Assistant to Managing Director (Transactional)

We are a small but growing team of consummate professionals and, in our pursuit of excellence, innovation, and unrivaled service, we are seeking a highly experienced and capable Executive Assistant to work closely with the Managing Director, streamlining processes and allowing them to increase workflow. 

The Role:

The Executive Assistant will be instrumental in supporting our Managing Director and wider business leaders from time to time as required. This role requires a unique blend of administrative excellence, organizational acumen, and a person of mature character with a tenacious proactive attitude. It is an active role supporting the MD in their daily activities and key initiatives across the business. 

Key Responsibilities:

  • Provide direct administrative support to Managing Director, including email & calendar management, scheduling meetings, proposal writing and preparation, report writing and preparation. 
  • Understand CRM systems and their effectiveness.
  • Serve as the first point of contact for internal and external stakeholders, handling correspondence and queries with professionalism and discretion.
  • Manage office operations on behalf of the MD, ensuring all administrative activities run smoothly and efficiently, including supply management, equipment maintenance, and office organization.
  • Assist the MD and Head of Business Ops to implement office policies and procedures to improve efficiency and support company culture.
  • Coordinate relevant specialists to facilitate seamless office management.
  • Plan and oversee office events, meetings, and employee engagement activities.
  • Handle sensitive and confidential information with the utmost discretion
  • Liaise with Clients of the business as directed by the MD, this will include some calling and email.

Qualifications and Skills:

  • Proven experience in a Executive Assistant or Personal Assistant capacity for a high performing executive, preferably within the real estate industry although not essential. 
  • An eagle eye for accuracy in all communications and document preparation is essential.
  • Exceptional organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Strong communication skills, both written and verbal. You are a quick thinking, proactive problem-solver with excellent attention to detail.
  • Proficient in Microsoft Office and other office management software is a must. 
  • Aptitude and positive attitude to grow  learn new skills in the delivery of service. Always looking at ways to improve processes.
  • Demonstrated ability to work independently using your intellect and common sense. 
  • Immaculate presentation with own car and licence.
