About the role
Focus ACT is looking for an experienced Executive Assistant that can support both the CEO and the broader Executive and Board to carry out the Board’s strategic direction. Primarily responsible for overseeing the various business functions that support compliance and governance, the Executive Assistant will also hold accountability for:
- Managing the office of the CEO and provide executive and administrative assistance; including managing diaries, travel, organizing meetings and collating required documentation
- Preparing and producing board papers and minutes in an organized and timely manner
- Liaising directly with Board Directors on various matters related to board activities and governance.
- Developing and supporting the implementation of new processes and ways of working in partnership with Executive
- Maintaining and updating all document libraries and compliance registers using Focus information management systems
- Overseeing and managing membership registers, actioning member payments and invoicing procedures whilst also ensuring accurate record keeping
- Working with managers and staff to improve and maintain organizational functions and processes
About You:
- Demonstrable experience as a C-Suite Executive Assistant will be highly regarded
- Excellent written and verbal communication skills
- Extremely well organized with excellent administrative skills and a very high level of attention to detail (including advanced skills in the use of the Microsoft Office suite)
- Professional and proactive with high levels of initiative and discretion
- Ability to co-ordinate multiple tasks effectively, prioritise workloads and manage deadlines
- Demonstrated continuous improvement mindset with proven abilities in implementing process change to maximise efficiency and productivity
- Strong stakeholder engagement skills with a proven ability to build and maintain relationships with a diverse internal and external stakeholder group at a senior level
- Collaborative mindset with proven abilities to work well in a team environment
- Adaptive, flexible, problem-solving capability
NDIS Requirements:
You will not need experience working in a NDIS setting. However, as part of our commitment to ensure a safe environment for staff and our participants you will need to successfully obtain:
- Working With Vulnerable People check (WWVP)
- National Police Check
