Due to the upcoming retirement of a long serving Executive Officer, there is now a vacancy for an experienced assistant to support one of our busy senior executives with a wide range of administrative duties.
As an Executive Officer (EO) you will provide professional support to the General Manager to ensure excellence in service delivery and customer experience.
In this position you will ensure our General Manager is prepared and informed on relevant matters in a timely manner and specified timeframes are met. This includes researching, preparing, and ensuring responses to enquiries and correspondence. Proactively managing action items, diaries, committees and coordinating departmental and divisional meetings are also part of this role.
The EO works within a team and collaborates with all other General Manager EOs, CEO’s EO, the Mayor’s Executive Assistant and Governance staff.
More specific accountabilities include but is not limited to the following.
- Providing quality support to General Managers and the Senior Leadership team.
- Supporting the General Manager in the preparation, review and approval of Council and Committee Reports, including monitoring the implementation of Council and Committee decisions.
- Assisting the General Manager with delivery of work area plans and budgets within delegations, following Council’s policies and procedures.
- Supporting the General Manager by proactively responding to or preparing enquiries from Elected Members, residents, staff, and other customers with a high level of discretion, maturity, diplomacy and judgement ensuring exceptional customer experience.
- Co-ordinating staff responses and/or input into projects, programs, reports, correspondence, and corporate issues.
- Proactively managing all correspondence (emails and letters) received for the General Manager.
- Maintaining and coordinating an effective calendar ensuring the General Manager’s competing demands are effectively managed.
To be considered for this role you will need to have significant experience working in an Executive Team, possess Project Management experience, be tech savvy and a high attention to detail and communication skills.
Further key requirements of the role include:
- Demonstrated ability to proactively support the Executive with their day-to-day operations including an ability to anticipate needs.
- Undertake research, analyse data and prepare summary recommendations for reports or responses to enquiries on behalf of General Managers.
- Commitment to perform effectively as an individual, in a team and across the whole organisation.
- Ability to process high volumes of detail and documents in an orderly manner with a commitment to record keeping in all aspects of assigned work.
- Experience in administrative support to projects and programs.
- Digitally minded with advanced skills in the Microsoft suite of products, in particular MS Word, Excel, Outlook and PowerPoint.
- High level of flexibility and agility to meet sometimes rapidly changing priorities and variable working duties and hours.
- Highly developed time management, planning and organisational skills with the ability to prioritise and meet deadlines.
- Aptitude to think quickly, decisively, efficiently, and effectively under pressure.
