As an Expedition Logistics and Travel Coordinator, your primary responsibility will be to efficiently coordinate all aspects of travel logistics for our Expedition Team. From booking flights to arranging accommodation and ensuring compliance with regulations and policies.
Key Accountabilities:
Expedition Logistics (60%):
Manage travel requirements, plan, book, and coordinate all Expedition Team travel.
Work with stakeholders to ensure timely and accurate booking of air travel tickets.
Coordinate deployments and turnovers effectively, liaising with internal and external partners.
Issue pre-departure communications and implement contingency plans as needed.
Communication (15%):
Maintain efficient communication channels with the Expedition Team, keeping them informed and engaged.
Promptly respond to inquiries and provide timely updates on travel arrangements.
Financial Management (15%):
Process travel-related expense reimbursements and assist with insurance claims.
Ensure accurate billing data through invoice reconciliation.
Administration (10%):
Conduct seasonal reviews of documentation and maintain effective communication with Expedition Teams.
Key Considerations:
Ensure seamless coordination of travel arrangements for large volumes of Expedition Team members.
Adapt quickly to changes in schedules, itineraries, and expedition needs.
Navigate travel regulations and compliance standards efficiently.
Implement contingency plans and provide support during travel disruptions or emergencies.

Knowledge of travel regulations and industry best practices.
Experience in polar expeditions or related fields is highly desirable.
