Permanent Part Time Position - 3 Days a Week

We are seeking a dynamic Facilities Administration Coordinator to join our Facilities Team 3 days a week (Hybrid – 1 day in office, 2 days working from Home). As part of a team, you will champion the administering of facilities management for the organisation through customer service professionalism and attention to detail. Managing incoming requests, SDN team support to complete required works from start to completion.

About this role

Reporting to the Property and Facilities Manager, your key accountabilities are:

  • Customer Service – Represent the Facilities team as the first receiver for all SDN’s service requests.
  • Facilities Management Application Software - Championing the usage of the Facilities. Management application software throughout the organisation as well as to approved vendors.
  • Work Request Response – triage and allocate requests accordingly to SDN management and approval practices.
  • Record and Document Administration – Request, collate and maintain facilities operational policies, procedures, records, systems, and administrative documents as required for efficient operations and to ensure external vendors are adhering to legislative obligation as well as SDN policies and procedures.
  • Maintenance Works Coordination – assisting in ensuring scheduled maintenance is delivered timely and effectively with minimal disruption and professional outcomes.
  • External Contractor Coordination – Communicate, liaise, and gather documentation for external vendors to make sure they meet MTC compliance requirements.
  • Contractor Invoicing – checking and uploading all vendor invoices for completed works into SDN accounts system.
  • Other - Perform any other duties as requested by your manager consistent with the position

About you 

  • Previous experience in building services or facilities management preferable.
  • Exceptional customer and supplier management skills.
  • Ability to manage multiple work requests and suppliers across various sites simultaneously.
  • Excellent organisational skills, ability to multitask.
  • Self-motivated, performance driven, flexible and adaptable.
  • Good interpersonal, written, and verbal communication skills including the ability to liaise with both internal and external stakeholders.
  • Understanding of Quality Management Systems, Standards, Codes, Regulations, Rules, Policies, Procedures, and their application.
  • Understanding of accounts receivable, payable, and processing of invoices.
  • Experience in the management of diverse facilities management issues.
  • Strong computer systems skills including Microsoft Suite and other programs associated with Facilities Management.
  • Have a current Working with Childrens Check and or ability to obtain one.
