A key focus is on service delivery, driving efficiencies, reducing cost and mitigating risk associated with management of the Group’s Properties and facilities services provided.A key component of the role is leadership, demonstrated through proactive management of stakeholders and development of Team members, promoting a professional, high-functioning, and collaborative culture, maintaining an effective control environment and service levels, and focusing on continuous process improvement and better use of assets and business tools.Nature of position: Permanent, Full TimeLocation: Melbourne, VICReporting Line: General Manager - Business Services, OperationsKey responsibilitiesExecute key property facilities deliverables, including:
- Work with key stakeholders to manage day to day operation and performance of the Group’s Property facilities, ensuring they adequately support operational activities
- Drive effective and efficient delivery of function operations in line with Company policies, procedures, authority delegations and sustainability / RAP targets
- Develop and maintain facilities schedules and programmed maintenance plans for the Group’s properties, including management of expenditures and budgets
- Coordination and timely response to maintenance and service requests, as well as provision of timely reporting and afterhours emergency contact for escalations as required
- Oversee Workplace Health and Safety governance and compliance, and ensure compliance with corporate, industry and statutory standards and procedures
- Liaise with Landlord representatives on tenancy issues and contractor performance inclusive of cleaners, fire services, air conditioning, etc…, prioritizing Workplace Health & Safety, optimal utilisation and commercial outcomes
- Manage contractors and service providers …. maintaining contract expiries, warranties, insurances and operation manuals for all properties. Drive supplier performance (capability, delivery, quality, price, payment terms) through contract and relationship management, and spend / performance metrics
- Plan, manage, and execute property related projects (e.g., site mobilisation and demobilisation activities, site re-positioning, etc…), and stakeholder expectations, commensurate with set budgets and ensuring timely delivery
- Manage budgets. Assist with preparation of annual Opex / maintenance budgets, CAPEX initiatives, regular review of premises financials / results, and supplier invoice processing approvals
- Provide strong leadership to Property / Facility Coordinators
- Identify opportunities for improvement and growth through best practice Policy and procedures, cost reduction and value-adds
- Other duties as the Company may reasonably require
- Minimum 5 years’ experience in property / facilities related functions
- Tertiary or trade qualification in a relevant discipline (Preferred)
- Experience and understanding in property and facilities management functions
- Change agent that can earn and create buy in, deliver creative solutions, and proven track record of delivery issue free integration strategy on time and budget
- Excellent management / organisational skills
