Why your role matters:
Venues & Events are specialists in delivering meetings and events for internal and external clients across a variety of venues, including UNSW CBD Campus, Parramatta Innovation Hub, John Niland Scientia Building, Clancy Auditorium and Science Theatre. This business unit coordinates and delivers the venue logistics, audio visual and works closely with the contracted caterers to ensure a consistent quality hospitality experience.
The Accounts Coordinator is accountable for providing proactive, practical and efficient financial administrative support for all aspects of the UNSW Venues & Events team, including The Lounge.
This position reports to Senior Venues & Events Manager and has no direct reports.
Responsibilities:
- Provide broad financial administration duties support to Venues & Events and The Lounge including but not limited to; collating and submitting to Finance invoices, internal journals, credit notes and refunds, vendor set up and PO creation, month end activities and presentation of financial data graphically.
- Develop, maintain and apply an understanding of UNSW finance processes and systems and establish effective stakeholder relationships with the finance team including finance analysts, accounts payable and account receivable.
- Develop, maintain and make recommendations for improvements to filing systems, spreadsheets, databases for financial reconciliation including: catering commissions, EOM statistic reports, revenue and expense tracking.
- Access and understand data from a range of systems including but not limited to; iVvy and Calumo, reporting platforms and reports generated internally and by external suppliers and accurately enter this information into spreadsheets and support the Senior V&E Manager with interpreting data and proving basic commentary for EOM reporting for Venues & Events & the Lounge.
- Present financial data, information and articulate problems to audiences with varying levels of technical finance knowledge.
- Coordinate monthly reconciliation of Lounge P&L, including cross checking POS data, gift voucher reconciliation, accruals and invoicing processes.
- Perform duties in line with relevant financial policies and procedures and provide general advice relating to financial administration guidelines, processes and activities.
- Create and maintain process documents for all finance related processes undertaken within Venues and Events team.
- Build and maintain strong working relationships with stakeholders to ensure finance needs are understood and expectations are both managed and met.
Skills and Experience
- Diploma of Business Administration or equivalent competence gained through any combination of education, training and experience.
- Demonstrated financial administration experience with strong numeracy skills.
- Advanced organisational skills including ability to prioritise tasks and duties in order to meet deadlines.
- Excellent attention to detail and ability to accurately report on business data and financial transactions to support senior management.
- Excellent interpersonal, written and oral communication skills.
- Demonstrated capacity to work effectively in a team, preferably within a hospitality or customer service environment.
- Highly proficient computer literacy with advanced skills in Microsoft Excel and intermediate skills in other Microsoft Office applications.
- Demonstrated ability in the use and administration of online systems and databases.
