Responsibilities:
This will include, but is not limited to:
General administration
- Overall management of all administrative tasks for the Engineering & Project Group
- Maintain EGM calendar and schedule meetings, including preparing agenda, and recording minutes of meetings
- Manage travel, car hire, accommodation arrangements and uniforms for the Engineering & Project team
- Conduct clerical duties, including filing, answering phone calls, responding to emails, maintenance of registers and preparing documents
HR
- Facilitate human resource activities for the Engineering & Project management team including recruitment, training, onboarding/offboarding employees and processing weekly employee timesheets
Communication / Culture / Social media
- Manage and organise internal and external Customer Stream events
- Draft internal and external communications including social media platforms
Commercial / Financial
- Process invoices, goods receipting and raising purchase orders
- Administer supplier agreements, insurance documentation and onboarding new suppliers and contractors
- Provide administrative support to the commercial team in drafting, updating and collating contracts, subcontracts and other commercial agreement
- Complete reviews of expense claims to ensure consistency with Company Policy
Pre-Contracts / tendering
- Provide support to the estimating team in the collation of tender documents / submissions
- Develop / or assist in development of tender collateral including project sheets, CV’s and other marketing type documentation
About You:
To be successful in this role, you will have:
- Experience in using Microsoft professional suite and ideally experience with Project Management platforms such as Pronto XI, Procore, SitePass and Adobe (or similar) and a range of Microsoft Office applications
- Excellent verbal and written communication skills
- Experience managing human resources matters and handling confidential information
- Proven experience managing project financials, debtors and creditors
- Experience developing internal processes and documentation systems
- Exposure / experience in tendering, pre-contracts and marketing
- Ability to adapt to changing situations in a calm and professional manner
- Willingness for personal development, training and upskilling
- Previous experience in the building and construction services sector is advantageous
