About the role
Based in our Chifley Square Office and reporting into the Executive Director – Corporate Strategy and Office of the CEO, The Head of Enterprise Project Management Office is centrally responsible for the establishment, ongoing governance, planning, and resourcing of the framework via which enterprise programs and projects are implemented across the organisation. You will ensure alignment of projects are accordance with functional future roadmaps, and strategic outcomes of the organisation. The Head of EPMO is responsible for the creation and ongoing the custodianship of the overall stage gates of programs in play and ensures no project commences or continues without pre-approved criteria being met.
The Enterprise Project Management Office is a new function within Business NSW and requires a candidate who truly enjoys actively working in a hands on role designing and implementing process and governance framework enterprise wide. You will work closely with senior stakeholders across the organisation to educate, drive change management and elevate the effective governance of the project portfolio.
Your key deliverables in the first 3-6 months will be:
- Assess and establish the structure and milestone based governance process to stand up the EPMO
- Establish standards for Enterprise Project Management practices, including documentation/ artefacts, communication protocols, and project governance which can be scaled as appropriate to the size and scale of the program.
- Creation of a portfolio based project reporting methodology and ongoing generation/custodian of portfolio reporting including overall budget oversight of Strategic program allocation
- Effective Stakeholder Communication, Engagement and Change Management
Other responsibilities include:
- Supports Executive Director CS in key decisions via identification of project/program dependencies proactively monitors and escalates to the Executive Director – Corporate Strategy and Sponsor where critical risks have not been adequately managed and impact the overall project outcome
- Articulation of all key roles and responsibilities required to deliver projects and works with all stakeholders to ensure appropriate education and clarity of role is established
- Works closely with PM’s and Project sponsor and Business analyst, in initiation phases to establish project charter, scope, benefit/business case documentation
- Prepares initial steer co, Board approval documentation as required in accordance with project size
- Works closely with Finance and ITC team and in alignment with organisation budget planning cycles to establish annual portfolio program for Strategic projects
- Assists with the triage and verification of changes requested via the established initiation process and appropriate business owners to rationalise, prioritise and assess value prior to commencement
- Identifies and works to ensure appropriate resources are available and allocated to strategic portfolio projects to deliver successful outcomes
- Acts as an escalation point between Sponsor, Steer Co and Project Manager to support core risk mitigation as and when required
- Provides on the ground support and coaching to all direct reports
- Will act in a program management role as appropriate and in conjunction with enterprise goals
- Regularly reviews the EPMO methodology and provides hands on methodology right sizing where required and appropriate to project size
- Completes and oversees post project work such as Post implementation reviews, benefits realisation reviews
To be Successful in this role, you will:
- PM Certification (PMBOK, Prince2)
- MBA (desirable)
- Tertiary level qualifications (e.g., Bachelor’s degree) in business or related discipline or equivalent knowledge and skills gained through extensive practical experience
- Solid working knowledge and experience in project delivery across both functional and technical transformation
- Strong stakeholder (both internal and external) management skills and excellent communication cadence
- Proven experience as a PMO Manager with accountability for a portfolio of IT and business projects and governance.
- Sound knowledge of Project Management methodologies
- Experience managing teams
