Job Summary:
We are seeking a highly organised and motivated Junior Office Administrator to join our team. The ideal candidate will be responsible for organising documentation, maintaining a tidy and efficient office environment, and providing essential administrative support to ensure smooth daily operations.
Key Responsibilities:
- Documentation Management:
- Organise, manage, and maintain both electronic and paper files.
- Ensure all documents are accurately filed and easily accessible.
- Assist in the preparation and distribution of reports, presentations, and correspondence.
- Organise, manage and maintain employment hero
- Document and file meeting notes for management meetings
- Office Maintenance:
- Keep the office environment clean, organized, and presentable.
- Manage office supplies inventory, including ordering and restocking as needed.
- Keep track of storage unit inventory and liaise with the wider team on storage tracking and cleanouts.
- Coordinate with vendors for office maintenance and repairs.
- Administrative Support:
- Handle incoming and outgoing mail, packages, and courier services.
- Answer and direct phone calls, emails, and other forms of communication.
- Schedule and coordinate meetings, appointments, and travel arrangements as required.
- Assist with queries from the wider team in relation to administrative tasks.
- Customer Service:
- Greet and assist visitors, ensuring a positive and professional experience.
- Provide general information and support to clients and staff members.
- Other Duties:
- Assist with populating and tracking the office budget.
- Support special projects and initiatives as assigned by management.
- Perform other related duties as required.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
- Strong organizational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Positive attitude and professional demeanour.
