The role itself is to support a new program the client has undertaken; it is based between two offices located in Melbourne CBD and Tullamarine.
They are looking for Junior Project Administrator who is self-motivated, friendly, with a positive attuite who can take on a wide range of administrative tasks with confidence.
Key Responsibilities
- Coordinate the completion of administrative tasks within the Program. This includes but is not limited to: monitoring and processing correspondence; Program support; shared mailbox’s, reviewing registers; and maintaining program documentation filing systems.
- Self-manage competing priorities and task assignments from multiple sources (Managers) and ensure priorities are clearly understood/communicated to ensure outcomes are achieved.
- Use a range of applications/systems to perform administrative tasks and cross check work to identify discrepancies and inconsistences (e.g. data entry and searches).
- Coordinate Program team events/social activities as needed.
- Support PMO team members with administration tasks such as resource onboarding, vendor onboarding, invoices, and expenses.
- Produce reports, and other written material within established guidelines and timeframes.
- Monitor and anticipate administrative requirements to ensure effective, consistent, accurate and timely support.
- Demonstrated experience in performing administrative duties in a large complex and fast paced program, including the production of written material and accurate data processing.
- Demonstrated ability to handle multiple tasks, set and review priorities, meet deadlines and work effectively while remaining flexible to changing circumstances
- Proven ability to work both independently and collaboratively with highly effective time and self-management skills to meet deadlines, whilst ensuring accuracy and attention to detail.
- Demonstrated interpersonal and communication skills, including the ability to develop and maintain effective working relationships.
- High level of computer skills, including Microsoft Office (Word; Excel; Power Point). Ability to learn and effectively operate a range of applications.
