The Opportunity  
 
As a full-time, permanent Legal Liaison Assistant, based out of beautiful Sawtell, you’ll support and work closely with our Chief Legal Officer and Legal Liaison Manager, who are based on site, providing support and liaising with our legal teams.
  
You’ll facilitate information flow throughout the legal management network at Shine, and across our branches around Australia, escalating matters to the Chief Legal Officer to ensure best practice throughout our organisation. You’ll identify areas for improvement, ensuring compliance across the business, to assist in growing our varied practice areas, and assist with diary management and high level email management.
  
This is an ideal role for an individual who has worked closely with a busy senior professional previously, who has strong administration and analytical skills. And for someone who understands the complexities of a large organisation, ensuring that matters are brought to the Chief Legal Officer in a timely manner.
  
You’ll support our team by:  
  • Advising of matters requiring attention, with associated deadlines, and preparing relevant documentation.
  • Building relationships with key internal and external stakeholders and acting as a first point of contact for the Chief Legal Officer.
  • Preparing reports, business papers, presentations, documentation and correspondence.
  • Taking and circulating minutes and action items and following up stakeholders across the business to close relevant actions.
  • Prioritising the Chief Legal Officers emails and work commitments and keeping relevant stakeholders updated.
  • Organise functions, training sessions and other work-related events, including arrangements for travel and accommodation for attendees as required.
  • Taking a proactive approach to effectively manage their complex calendar and travel arrangements of the Chief Legal Officer
  • Complete monthly credit card reconciliation.
  • Undertake all activities with a high level of discretion and confidentiality.  
What you’ll bring    
  • Demonstrated high level administrative experience, having supported a senior professional previously.
  • Advanced written and verbal communication skills.
  • An ability to develop influential relationships with key stakeholders at all levels.
  • A highly organised, proactive nature, with the ability to forward plan an executive’s requirements and ensure their adherence to schedule.
  • Strong diary management experience, utilising Outlook.
  • Strong skills in Word, Excel and PowerPoint and Outlook.
  • Minute taking experience, with strong attention to detail.
  • An adaptable nature: flexible, resilient, and capable of managing competing priorities and changing deadlines, within a fast-paced corporate environment.
