he Office of the CIO (OCIO) is a multi-disciplinary team that drives operational excellence by consistently communicating, planning, monitoring and evaluating performance for Technology for ING Australia ensuring the teams “are doing the right things” and “doing things right”. The team delivers CIO business management; strategic planning and insights; commercial management and governance; operations and performance management in strong partnership with the technology leadership team, marketing, finance, HR, risk, procurement, the transformation office and global counterparts.
We’re looking for an IT Admin Coordinator to join our newly created Office of the CIO team. You’ll ensure all administrative matters are managed efficiently and will assist our Senior Leaders with a variety of tasks each day including: proactive support of diary management, email monitoring, meeting coordination, team social and video conferences, team event and catering coordination, international and domestic travel arrangements as required along with some general administration tasks.
We’re looking for a proactive and energetic individual with excellent communication skills who is comfortable working with senior leaders and managing conflicting priorities in a fast paced environment. Whilst there will be some shared responsibilities, your role will predominately be focused on providing administration support to3 Heads of Technology.
What you’ll do
Maintaining Team Intranet Pages and Microsoft Teams Channels where required to ensure that team documents and news items are updated in a timely manner.
Assisting in the preparation, formatting and collation of papers/reports for department and team-wide meetings and committees.
Assisting with the preparation of minutes, following up on action items and their status where required
Assisting in the planning, preparation and running of team functions and events
Supporting the team with on-boarding and HR related administration activities
Acting as a key contact for the teams to provide answers to their questions and assist with ad-hoc tasks
Using initiative and judgement to ensure matters are dealt with expeditiously and appropriately, identifying those which should be referred / known to others.
What you’ll bring
Experience as an Office Coordinator with proven experience supporting leadership teams
Experience juggle multiple priorities: things can get busy sometimes and you’ll be someone who can thrive under pressure and help things stay on track.
Proven experience managing multiple diaries: we live in a mad-world and meetings can quickly fill up a day. You’ll work with your Leadership Team to ensure the right stakeholders are included in various meetings, stakeholders are prepared, and also help to remove meetings which may not be needed.
Fantastic attention to detail, organisation skills and proficiency in MS Office Suite. Sometimes our Leadership Team may need to present information at short notice, and we’re hoping you can help them consolidate information into presentable slides that their audience can easily digest.
