Position:Motel Receptionist
Start Date: ASAP
Duration: Ongoing, initial 3 month contract with high likelihood of extension and view to permanency
Salary: $30.10/h (including casual loading) + superannuation
Hours: 3-4 Days Per Week + Alternating Weekends.
Location: Port Macquarie, NSW, 2444
Overview:
We are in search of a seasoned Motel Receptionist with exceptional attention to detail, great rapport building skills and social awareness, and the ability to work autonomously to join our team working with a respected local not-for-profit organisation in Port Macquarie, NSW. The position is Monday – Friday 0830-1630, with a 30-minute lunch break however this is flexible.
Primary Purpose of the Position:
Thoroughly check for overnight bookings, which are promptly recorded in the reservation system, and payment details are verified. Additional tasks include managing outdoor signage, preparing housekeeping lists, answering calls and documenting guest information. Additionally, handling emails, coordinating with housekeeping, overseeing guest check-ins and check-outs, conducting security checks, maintaining an updated Hospital list, and securing the office at the end of the shift. These duties collectively contribute to the smooth operation of the establishment's hospitality services.
Key Accountabilities and Responsibilities:
Guest Check-In:
  • Welcome and check in arriving guests, verifying the accuracy of guest details. Inquire about estimated departure times to assist with housekeeping scheduling. Ensure payment is received upon arrival and issue receipts. If payment is made by a third party, verify, and record their details accurately.
Guest Check-Out:
  • Efficiently process guest check-outs, ensuring adherence to correct payment methods. Alert the Manager if any discrepancies are identified.
Folder Management:
  • Collect the Blue folder from the Main Entrance desk of the Base Hospital daily.
Outdoor Signage:
  • Erect the outdoor flag in its designated position.
Office Setup:
  • Ensure a smooth start to the day by turning on computers, restoring phone lines, and unlocking the office door.
Booking Review:
  • Thoroughly examine the Blue folder for any overnight bookings and promptly enter them into the RMS Reservation Management System. Verify payment information for each booking.
Housekeeping Coordination:
  • Prepare a housekeeping list, highlighting tasks for the housekeeping team.
Guest Communication:
  • Answer incoming phone calls, documenting guest information, including dates of stay, guest names, addresses, and arrival times. Enter this data into the RMS Reservation Management System.
Email Management:
  • Regularly check and manage emails, taking necessary actions and providing information to relevant parties.
Housekeeping Liaison:
  • Communicate with the housekeeping team to receive updates on room cleaning status and promptly update room statuses in the RMS.
Guest Check-Out:
  • Efficiently process guest check-outs, ensuring adherence to correct payment methods. Alert the Manager if any discrepancies are identified.
Laundry Management:
  • If required, handle laundry tasks, such as washing underlays or blankets brought by housekeeping.
Booking Verification:
  • Check incoming bookings to ensure accuracy and correctly assign them to the appropriate room types.
Security Checks:
  • Conduct security checks close to the end of the shift, ensuring balcony doors are closed and the kitchen and laundries are secure. Report any unusual findings.
Hospital List Update:
  • Maintain an updated Hospital list and organize keys for hospital drop-off at the end of the shift.
End-of-Shift Tasks:
  • At the end of the shift, reconcile cash, divert phone lines, lock the office and Room 1, and return the Blue folder to the Main Entrance of the Base Hospital.
Systems:
  • RMS - Reservation Management System
  • Outlook and O365
  • Hybrex phone system.

Key Challenges:
  • Deliver consistent and accurate cleaning in a high-volume and dynamic environment.
