As a Tour Reservations Agent, you'll serve as the primary contact for our clients, delivering top-notch customer service. Your duties will involve handling booking enquiries, conversions, and client support.
Our retail Client & Reservations Agent will support the Consulting team by liaising with clients and suppliers after bookings have been made.
No two days are ever the same in these dynamic roles. Your responsibilities may vary, but will include:
Tour Reservations:
- Promptly responding to client enquiries and addressing any questions and requests
- Booking additional pre and post-tour arrangements
- Developing & maintaining in-depth knowledge of our specially designed tours & trekking experiences
- Processing booking forms
- Creating, issuing, and updating client invoices & receipts
- Maintaining accurate records
- Monitoring and updating bookings where necessary
- Collaborating with our team of Adventure Travel Specialists on crossover bookings
- Participating in product training/updates as opportunities arise
Retail Client & Reservations:
- Preparing and distributing confirmation kits
- Sending payment reminders, receipting payments & updating invoices/travel summaries
- Assisting with client enquiries after bookings have been confirmed
- Chasing invoices and paying suppliers
- Sourcing information as required
- Advising on and lodging all visa applications
- Updating and maintaining client and trip files
- Monitoring airline queues and dealing with schedule changes and ticket reissues
- Ensuring all necessary information has been included in bookings & PNR’s
- Looking after clients in consultants’ absence
In both cases, we’re looking for someone who genuinely loves working in travel and is committed to delivering the best possible experience for their clients. We have a loyal repeat client base, and you will be integral in maintaining these relationships.
You will have:
- Minimum of 1 (Tours) or 2 (Retail) years’ experience as a travel consultant
- The ability to multi-task and work to specific deadlines
- Exceptional written and spoken communication skills
- Great attention to detail
- Proficiency in the Microsoft Office suite
- Enthusiasm and the drive to go that extra mile
- A positive outlook with the ability to be proactive for the good of our clients and our team
- Knowledge of Galileo and CCTE
