Permanent part-time position - Office Assistant (Receptionist)
30 hours per week, 40 weeks per year (aligning with School Terms), and 20 hours per week, 8 weeks per year (in term breaks)
We are seeking a highly capable Office Assistant/Receptionist to provide administrative support and deliver exceptional customer service to visitors and staff within the Early Learning Centre.

About the role
The Office Assistant provides a welcoming and efficient ‘front of house’ customer service function to visitors and callers to the Early Learning Centre. This position also provides administrative support to the ELC Director and senior staff in the ELC, liaises with the Student Enrolments team and has key responsibilities that include:
- Provide a customer service to visitors, greeting and assisting all visitors to the main reception
- Polite and efficient handling of incoming telephone calls
- Manage emails directed to the Westminster Inbox
- Update West Calendar, databases and Consent to Go as required via online requests
- Manage bookings for the Meeting Room
- Operation of ‘front of house’ reception and dispatch functions
- Provide general administrative and clerical assistance and support to the Head of Student Enrolments and Development Office Team members
The successful applicant will be able to demonstrate the following:
- Experience in the provision of reception or customer service function using a PC-based phone system
- Demonstrated knowledge or willingness to learn Client Relationship Management systems
- Excellent organisational skills including the ability to prioritise and meet deadlines.
- Efficient and accurate data entry skills
- Excellent written and verbal communication skills.
- High level of confidentiality, initiative, administrative and organisational skills
- Proficient in using technology including managing information in a database, and use of MS Office products such as word, excel, email.
- Well- developed interpersonal skills in communicating with tact and diplomacy.
- Ability to demonstrate active listening and provide support as necessary
- Exceptional phone manner and personal presentation.
- Initiative and the capacity for self-direction, while at the same time contributing to the output of the larger team.
- A positive, enthusiastic team member with superior organisational skills, the ability to set goals and prioritise work, adapt to change and the capacity to manage multiple, simultaneous tasks.

- Demonstrated ability to liaise professionally with a diverse range of people.
