About the Role
The Operations Manager Rostering, Aged Care is responsible for the centralization and ongoing rostering across the Aged Care portfolio. This includes assessing requirements, forecasting, and delivering solutions to support, optimisation and utilization of the Aged Care workforce. The role aligns to the workforce and organizational strategies that focus on growth and development, working with key stakeholders (particularly People, Culture and Safety) to determine current and future workforce requirements and develop and deliver plans that consider market, organizational and divisional needs, and impacts.
Key Duties
- Deliver an optimisation agenda that will ensure workforce is effectively utilised through process improvement, operational efficiencies and meeting customer needs. Include the consolidation and centralization of Aged Care rostering
- Develop a governance structure with our broker and agency network ensuring compliance and profitability and set strategic targets for broker & agency usage Operational Workforce reporting – minimize agency and brokerage
- Develop and maintain capacity plans for operational teams, including FTE, productivity measures, and forecasted staffing changes (recruitment/attrition)
- Lead and manage a team of rosterers across Aged Care, supporting a customer centric approach
- Monitor and report on performance metrics and provide recommendations regarding recruit as necessary
- Work with Operational Management to gain consensus agreement of FTE plans and recruitments
- Identify gaps and build in collaboration with Senior Manager Workforce Planning, tools and plans that enable Baptcare to support its stakeholders with best-in-class operational effectiveness.
- Develop and deploy workforce reporting to deliver meaningful insights to key stakeholders and have a complete understanding of all workforce data within Residential Aged Care
- Utilise internal data to drive and influence process and procedure improvements and be able to develop cutting edge and interactive analytics dashboards for the use of senior management and other key stakeholders.
About You
You will ideally bring the following:
- Experience with MIS systems, Customer Operation Fundamentals and Workforce Optimisation Principles
- High level presentation, written and interpersonal skills, with the ability to engage and develop positive relationships with staff at all levels.
- Experience in a workforce planning role, ideally in case management or back-office processes
- Customer centred approach, including process optimisation experience
- Strong decision-making skills based on lateral thinking and co-creation
- Alignment and commitment to Baptcare’s Mission, Vision, and Values
- Consolidation and centralisation of Aged Care rostering
- Achievement of Residential Aged Care “minute targets”
- Achievement of In-Home Care utilsation targets
- Minimal agency & brokerage usage – whist having sufficient staff to support IHC growth
- System & processes for efficient staff utilsation across various Aged Care divisions
- Establish “one” effective/efficient after-hours Aged Care rostering team
- Positive internal and external stakeholder feedback
- Further KPIs as articulated in the incumbent’s Performance Development Plan and Balanced Score Cards
