POSITION PURPOSE
The role of the Parish Secretary is to undertake the administrative and secretarial responsibilities which enable the Parish Office to run effectively, efficiently, and professionally. The role is a collaborative partnership that supports the Parish Priest and works together with volunteers, parishioners and external agencies to progress the mission of the Catholic Church in Mount Eliza.
KEY ACCOUNTABILITIES
· Responding to phone calls, emails and written correspondence in a timely manner
· Digital and hard copy document management including sacramental and financial records, minutes of meetings, periodic archiving and secure disposal of files
· Supporting the Parish Priest with diary management and admin
· Ordering supplies for the Parish and liaising with tradespeople for maintenance
· Preparation of Weekly Parish Newsletter and updating the Parish website
· Liasing with volunteers and external agencies
SKILLS FOR SUCCESS
· A confident working knowledge of Microsoft Outlook, Excel & Powerpoint
· Basic IT troubleshooting
PERSONAL ATTRIBUTES
· Support for the mission, identity and core values of St Thomas More Catholic Parish
· Familiarity with Catholic Church disciplines as well as the church’s liturgical calendar and Sacramental life
· Proactive ability to build positive and collaborative relationships with clergy, other staff and stakeholders
· A high level of integrity, honesty and confidentiality
OTHER REQUIREMENTS
· Valid Working with Children Check
· Police Check
· Annual acknowledgement of the expectations and responsibilities outlined in the Safeguarding Children and Young People Code of Conduct.
· Successful completion of the Catholic Archdiocese of Melbourne’s Safeguarding Essentials online training module annually.
