Job description

Mental Health Service Group are seeking an experienced and outcome driven Administration Officer to undertake a Patient Services Officer - Holiday Reliever role. This is a temporary full-time role for up to 12 months.
The role includes Executive Support Officer, Reception, Booking Officer, Administration Officer and Switch functions preformed within the Townsville University Hospital and Community Mental Health Campuses.

The Opportunity
Provide, develop and maintain an efficient, effective, ethical and confidential administrative and secretarial support service to Mental Health Service Group as well as administrative and reception support to the Mental Health Service Group Administration unit under the direction of the Administration Services Manager, whilst liaising with Administration Team Leaders, Medical and Nursing staff to deliver an effective and efficient administrative service.
Employment Term

  • Fixed Term Temporary full-time, up to 12 months.
Generous remuneration package value up to $94,810 p.a.comprising:
  • Wage rate ranges between $2864.10 - $3185.10 p.f. (AO3)
  • Annual leave with a 17.5% loading.
  • 12.75% employer superannuation contribution.

Role responsibilities
  • Work autonomously, utilising discretion in the absence of decision makers in resolution of conflict, meet deadlines, establish work priorities, organise meetings and appointments.
  • Maintain an effective office record system in conjunction with other administrative staff within the Service Group, of confidential documents, papers, internal correspondence, personnel files and management of computerised data.
  • Provide quality services in word processing, spreadsheet development and drafting of routine correspondence.
  • Perform secretariat function for relevant meetings (clinical, non-clinical):
  • Undertake a wide range of administrative duties assisting all areas and administrative team as directed by the Administrative Team Leader
  • Provide professional administration support including medical typing and reception services across a variety of multidisciplinary teams within outpatient and inpatient settings, including varying periods of relief and support where required.
  • Manage varying workloads appropriately, prioritising tasks to ensure completion within designated timeframes; providing assistance and contribution where required in a team environment.
  • Communicate effectively and respectfully with patients, members of the public and staff whilst adhering to Queensland Health confidentiality guidelines; providing appropriate advice and referring on where required.
  • Apply discretion in the absence of decision makers in problem solving, showing initiative, meeting deadlines and establishing work priorities; with the ability to work autonomously.
  • Utilise Consumer Integrated Mental Health Application (CIMHA), Hospital-Based Client Information System (HBCIS) for patient registration and Enterprise Management System (ESM) efficiently for appointment booking and waitlist management as per the Specialist Outpatient Service Implementation Standard (SOSIS) to achieve National Outpatient Access Target (NOAT) compliance; escalating issues where required.
  • Participate in the development, implementation, review and maintenance of internal systems, processes and work practices; identify and report areas for improvement to existing processes, attend and participate in scheduled administrative meetings.
  • Determine priorities and communicate with clinical staff to ensure delivery of the dictated transcripts in an accurate, efficient and confidential manner in preparation for clinical staff signatures within set timeframes.
  • Access and effectively utilise a wide range of hospital-based computer systems including CIMHA, HBCIS, Integrated Electronic Medical Record (ieMR), Enterprise Scheduling Management (ESM), Microsoft Office suite, Winscribe, MediRecords, RMS, S4HANA and QHEPS.
