Job Title:Patient Travel and Medical Records Officer

Classification: Administration

Employment Conditions: Full Time

Wage Level: Administration and Support Officers (ASO) Level

Salary: $65,942 - $71,299per annum.

Generous salary packaging: $15,899.94p/a

Professional development incentive: Allowance of $1,500p/a

Reports to: Operational Health Services Manager

Anyinginyi Health Aboriginal Corporation (AHAC) is a multi-disciplinary organisation which provides primary health care services to the Aboriginal people of Tennant Creek and the surrounding Barkly region, dedicated to ‘Closing the Gap’ in Aboriginal health within remote Australia.

Anyinginyi's mission is to be a provider of high quality holistic primary health care services featuring prevention and treatment in the Barkly region in a culturally responsive way.

As a small regional center, Tennant Creek does not have the facilities one would find in larger country towns like Katherine or Alice Springs however it does provide for all the basics that most people require. There is a supermarket similar to a large IGA store, Post Office, clothing and furniture stores, Pharmacy, Newsagent, banking facilities, restaurants and coffee shops and four hotels/motels. It also has sporting facilities (e.g. swimming pool, basketball courts, tennis court, football ground, car racing track), and several tourists attractions within easy reach Like our Beautiful Lake Mary Ann! 

About the Role

The Patient Travel and Medical Records Officer provides a support and advocacy role in helping clients arrange their travel to other places for follow up appointments with specialists and responsible for Medical Records in providing efficient and effective record keeping in line with Australian and AGPAL clinical records guidelines

Must be able to communicate wellwith our clients and can help them understand arrangements for their transport, accommodation and getting to their appointment as well as diligence in maintaining filing of Client records. All staff are required to provide services in a sensitive manner that takes account of Aboriginal culture, customary beliefs, and community context.

More specifically, some of your duties will include (but will not be limited to):

General:

  • Manage Anyinginyi Health’s Clinical Client Records including, creation, archiving, location, security and appropriate filing promptly in line with AGPAL clinical health conditions.
  • Assist in Medicare Card forms, replacement and Communicare record management.
  • Monitor and instruct appropriate record keeping management for relevant and respective/ receptions of the Health centre and Allied Health. This will include advice to other Sections of Anyinginyi where clinical record keeping is occurring.
  • Manage client appointment letters
  • Arranging of clients to be collected by the Anyinginyi bus to present to Anyinginyi Clinic to discuss appointment requirements.
  • Discuss with clients whether they can present for appointments, consider special needs of clients (Elderly/ Underage/ Precariously ill) may require escorts for appointments as some clients may not understand instruction from doctors/ Nurses/ Specialists.
  • Consider whether clients require escorts for Travel to and from appointments (Travel & Accommodation).
  • Management of PATS as NTG permissible computer and administration delegations.
  • Ensuring record management for all Client Travel arrangements, including any follow up documentation and ensuring client information (Itinerary’s/ tickets etc) is provided with appropriate notice for clients to leave Tennant Creek/ Barkly Region.
  • Maintain confidentiality at all times.
  • Provide temporary/ Short term support to fellow administration colleagues as needed when directed by supervisor.
  • Uphold the vision, mission and priorities of the organisation as determined by the Board of Directors and outlined in its Strategic Plan.
  • Contribute to the identification and management of risk or potential risk to clients in order to reduce immediate concerns.
  • Actively contribute to a professional and culturally safe work environment

About you

As this is an Aboriginal & Torres Strait Islander (ATSI) Identified position any applicant must be of ATSI descent.  The Patient Travel and Medical Records Officer must possess a High-level of communication skill (both oral and written) necessary to work and inform a multi-disciplinary team and in cross-agency and cross-cultural environments. Respect for traditional Aboriginal Culture and the ability to communicate effectively and sensitively with Aboriginal people.Demonstrated competent computer and Microsoft Office skills and or experience and willing to work as part of a team!

Previous experience within Remote Communities or specifically the Tennant Creek Region will be highly regarded but not essential.

Please note: A National Police Clearance and Ochre Card (NT Working with Children’s) card obtainment is a requirement prior to commencement in this role. Please refer to NT Safe for further information.  

You will also need to possess the following: 

Essential skills and experience:

  • Respect for traditional Aboriginal Culture and the ability to communicate effectively and sensitively with Aboriginal people.
  • Understanding of the Primary Health Care system and key issues relevant to closing the gap in health outcomes for Aboriginal and Torres Strait Islander peoples.
  • High-level communication skills (both oral and written) necessary to work and inform a multi-disciplinary team and in cross-agency and cross-cultural environments.
  • Be responsive to the needs of individuals
  • Evidenced ability to work independently with accountability and persistence.
  • Competent computer and Microsoft Office skills (e.g. emailing, faxing, Word & able to learn to use simple Excel spreadsheets).
  • Demonstrated ability to work as a team member and with limited supervision.
  • Understanding of Work Health and Safety, as it relates to the workplace.
  • Experience and knowledge of the Tennant Creek and Barkly Region.
  • Have a current NT Driver’s License.
  • Be in possession of or have the ability to obtain an Ochre card (Working with children’s Card).
