The role:
There is an exciting opportunity for a Personal Assistant to support the management team of our family office based in Southport. Reporting to two Executives, utilise your exceptional Organisational skills to elevate and assist the team.
You will be dealing with high-net wealth clients daily and assisting them with information on their personal and business affairs.
The role has variety, and experience or keen interest in Property, Finance and IT Industries is a must. Reporting directly to the Executives you will be required to work 5 days to support business operations.
Working with a high level of organisation and time management, your day to day responsibilities will include:
- Triage and coordinate inbound and outbound correspondence in a professional and timely manner, including preparation of briefs and responses as required
- Act and respond on behalf of CEO when appropriate to do so
- Manage and Coordinate CEO/Director Calendar
- Coordinate schedules and appointments
- Arrange and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Document Drafting, management and archiving
- Providing quality and timely administrative support
- Conduct research and compile data for executive decision-making.
- Building positive relationships with internal and external stakeholders to coordinate work with effective communication flow.
- Assist in organising company events, conferences, and team-building activities
- Book travel, accommodation and logistics
- Perform necessary ad-hoc duties on behalf of the management team and assist with various other personal matters and errands as needed
Hours, contract and remuneration:
The role is full-time requiring 38 hours per week. These hours can be designed to suit your family and lifestyle commitments with an agreed regular schedule and primarily within business hours.
The salary range for this role, dependent on experience, is $60-$80k plus super
Your experience:
- minimum 2 years’ experience supporting executives is desired.
- Proven experience as a Personal Assistant or in a similar administrative role.
- Excellent organisational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of professionalism and confidentiality.
- Strong attention to detail and problem-solving skills.
- Ability to multitask and prioritise effectively in a fast-paced environment.
