Our opportunity
As Personal Assistant to Group General Manager, Human Resources you will provide exceptional professional and administrative support to the Group General Manager, Human Resources.
Your responsibilities will include:
· Diary coordination and email management for the Group General Manager HR.
· Diary coordination for HR Leadership Team as required.
· Collate and distribute legal contracts and documentation for submission, approvals and sign off where required.
· Prepare and distribute reports, presentations and documentations to Mirvac branding standards.
· Update planning calendar and team org charts
· Take and prepare meeting minutes as required.
· Assist in maintaining appropriate systems, procedures and controls.
· Organise travel arrangements and itineraries for HR Team members.
· Arrange payment of invoices, PO creation and tracking and monthly expenses.
· Assist with induction of new employees or exiting employees where appropriate.
· Update/use databases and online systems as required.
· Manage coordination of team activities, conferences, meetings and events.
· Coordinate the submission of HR papers to the Executive Leadership Team, Human Resources Committee and Mirvac Board.
· Assist with the preparation and distribution of reports and presentations.
· Act as a liaison for GM or Senior Manager and maintain an approachable, professional and helpful attitude.
· Ability to recognise and resolve business and customer issues.
· Ability to liaise at various levels both internally and externally.
· Monitoring the Mirvac Stars inbox.
· Administration of points for length of service awards and preparation and distribution of certificates.
· Assistance with Mirvac Stars systems support.
· Assist with co-ordination of Mirvac Stars events.
· Administrative support for the Belonging team as required.
· Event management for internal Belonging events
Your point of difference
To be successful you will have demonstrated experience in a high-volume administrative role with conflicting priorities in a corporate environment.
An advanced level of IT proficiency (Microsoft office, Yardi, Basware) and demonstrated commercial/financial acumen is desirable.
Finally, you will have strong attention to detail excellent interpersonal and written communication skills and proficient excel skills.
