About your new role

The position provides professional and proactive administration services to the Director of Economy, Planning and Environment to ensure effective delivery of the operational needs of the Directorate. This role is responsible for handling high-level, complex and confidential requests and tasks. You will operate under the general direction of the Director with the freedom to work autonomously and to interpret and implement established policies and procedures in order to achieve clear objectives.

This is a busy and varied role, with the following key responsibilities:

  • Daily coordination of the Director’s diary and meetings. Troubleshooting conflicts and providing recommendations to ensure smooth day-to-day operations
  • Providing a high level of proactive administration support including email management, meeting and agenda preparation including minute-taking
  • Proactive and autonomous preparation of presentations for internal and external meetings
  • Analysis of enquiries and requests from internal and external stakeholders, determining appropriate actions on behalf of the Director, including redirection of enquiries to appropriate personnel
  • Management of confidential information with a high level of tact and discretion
  • Communicate effectively and professionally with senior and executive leadership, Councillors, stakeholders and City personnel
  • Researching and analysing complex issues/tasks to determine an appropriate course of action
  • Delegating tasks and queries to alternate managers where appropriate

What you bring to your new role

You will be an emotionally intelligent person who considers yourself a people person. You are comfortable liaising with all levels of management, and actively demonstrate your high-level interpersonal and communication skills on a daily basis.

You are positive and solution-focused. You are able to quickly become the "knowledge point" for the Economy, Planning and Environment Directorate and will be able to work autonomously whilst remaining calm and approachable through shifting priorities and deadlines.

To be successful in this position, you will also have:

  • Demonstrated experience in providing executive support at a senior/executive level
  • Experience dealing with confidential information and protecting the professional integrity of the Director and the City
  • Excellent written and verbal communication, interpersonal, organisational and time management skills
  • Exceptional attention to detail with the ability to review and generate high-quality written reports and general correspondence
  • High emotional intelligence, with the ability to positively interact and engage with team members, staff within the directorate, whole of Council and external stakeholders
  • Self-motivated and flexible with a can-do and willing attitude, particularly regarding new responsibilities
  • Team player who can work autonomously in a fast-paced environment whilst remaining calm and approachable
  • Well-developed abilities in mediation and conflict resolution, you will confidently and respectfully challenge the way things are done when there is an opportunity for improvement
  • Demonstrated high level of experience in using the MS Office suite
  • Proficiency in other software relevant to the role (SAP / Objective / Pathway) or can upskill quickly
