Job description

As Process & Systems Manager - AU DC you will be responsible for operational activities and Process & Systems
Management of warehouse activities in collaboration with, and with guidance from, the DC Manager. This will
typically include Inbound, Operations, Compliance, Safety, Outbound and timely delivery of product in a manner
consistent with Lovisa customer service and cost objectives while delivering the position KPI's. When the DC
Manager is absent you will lead the AU DC team. This role has a specific focus on Process and Systems operations
and improvement and enabling Continuous Improvement (CI) in the AU DC.
The Process & Systems Manager - AU DC will be responsible for:
ESSENTIAL DUTIES:
?Process and Systems improvement. Lovisa has a continuous improvement (CI) culture. This role has a focus
on improving the Systems (i.e. technical and IT systems) and Processes (i.e. team member processes).
Running Technologies through testing procedures and noting of the results. Providing feedback and
recommendations on how to improve existing procedures and technologies. Preparation of Drawings and
mapping out of process flows and integrations.
Inbound:
o Supervise safe unloading of inbound, putaway, ongoing rotation, accurate and timely receipt.
o Verify required inbound/outbound paperwork with drivers, ensuring that all products are properly
counted.
o Ensure the efficient receiving, recording, processing, notification of all non-merchandise shipments.
Operations & Compliance:
o Together with line manager, establish work procedures, routines and schedules that allows for the
safe, efficient and orderly operation of the warehouse activities. Foster a Continuous Improvement
(CI) culture.
o Maintain records for team member productivity & accountability for all DC Operations. Follow up
and make necessary adjustments where accuracy and productivity is below threshold.
o Maintain a clean, neat, and orderly work area. Maintain efficient access to, and security of,
warehoused stock and non-stock. Ensure compliance of EOD process.
o Ensure adherence to all industry and governance legislation regarding warehouse operation
including signage, Dangerous Goods, security and safety regulations.
o Ensure up-to-date inventory balances and recording processes.
o Ensure all plant & MHE is properly maintained. Inspects physical condition of warehouse and
equipment and prepares work orders for repair and requisitions for replacement of equipment.
o Direct the salvage of damaged or used material and / or the disposal of redundant, damaged and
written off items in accordance with company policy and instruction.
o Ensure the accuracy of all shipping documents - generate & maintain all records for shipping
activities.
Manage and collaborate with courier and carrier companies and drivers to ensure delivery of
products to drive Lovisa Service, Lead Time and Cost objectives.
o Establish and deploy agreed standards for disciplinary matters for all warehouse team members.
o Establish and deploy procedures to eliminate stock loss and theft from the warehouse environment.
This includes random searching of team members and their possessions.
o Oversee inventory control records on warehouse items stored in warehouse and provide
recommendations on efficient stock levels for Goods for resale and GNFR.
o Ensure new employee contracts/pay-grades are maintained in alignment with current awards.
Outbound:
o Ensure that outgoing merchandise is packed neatly, safely & cost effectively.
o Ensure that all out going shipments are correctly labelled and documented.
?Safety Focus:
o Maintain a well signed warehouse with clearly designated areas of activity. Ensure such
demarcations are adhered to.
o Ensure the effective and regular removal of waste and refuse material.
o Ensure that all personnel adhere to safety procedures and policies.
o Oversee work assignments for new and existing team members. Provide procedural and safety
training for warehouse team members with additional emphasis on new team members.
o Preparation and record documentation for team member accidents and incidents.
Maintain professional engagement with internal and external working relationships (refer influence matrix)
ADMINISTRATION:
? Ensure punctuality and accuracy of daily stock movements
? Ensure adherence to company policies and procedures
? Ensure payroll procedures are fully compliant and staff working hours submitted within milestones.
? Maintain a filing and recording system that allows for easy monitoring of all warehouse activities.
? Respond promptly to all correspondence received - fax's, letters, phone calls and email.
SUPPLEMENTAL JOB FUNCTIONS:
? May undertake operational tasks in DC as required, e.g. load and unload freight, Pick, Putaway, dispatch in
an efficient and safe manner.
? May be responsible for equipment leasing.
? May be responsible for nightshift or weekend operations as required.
? Perform additional duties as required.
EQUIPMENT, TOOLS AND WORK AIDS:
? Computers, forms, Futura Retail System, manuals, handbooks, forklift, ruler, pallet jack and stationery.
? Strength - lifting to 35kg occasionally, and/or up to 20kg frequently, and/or up to 10 kg constantly
