Job description
Reporting to the Global Mobility Supervisor, the Program Administration Officer oversees the day to day running of the Program Management Office (PMO), ensuring efficient and timely administrative support is provided to the Program Manager, Deputy Program Manager, the Program Support Manager (PMO team) and the Global Mobility Supervisor.
The role is directly responsible for providing support to the PMO team in the areas of calendar management, customer service, data entry and administrative support services.
Responsibilities/Duties
- Manage the PMO team calendars across multiple systems, scheduling meetings and coordinating the schedules of all PMO team members, including oversight of the FAM leave calendar.
- Oversee room bookings for the PMO team and provide support to Functional Area Managers (FAMs) scheduling meetings with Government Points of Contact (GPOCs) as required.
- Act as the first point of contact for the program, providing exceptional customer service at all times.
- Oversee day-to-day administrative tasks such as answering the phone, drafting emails and correspondence, taking meeting minutes, etc.
- Support the processing of all incoming and outgoing PCS and TDY staff as directed by the Global Mobility Supervisor, working in close conjunction with the Candidate Management Specialist
- Maintain relevant distribution lists and complete weekly tracking spreadsheets as directed by the Global Mobility Supervisor
- Complete SPEAR data entry as directed by the Global Mobility Supervisor, ensuring customer requirements are met at all times
- Work in conjunction with the Candidate Management Specialist to ensure all new employee (red badge) on-boarding activities and briefings are scheduled, including requesting high-side accounts and enrolment in NEO/JIF.
- Ensure compliance with all environmental health and safety requirements
- Any other reasonable duties as requested
