WaterAid Australia works within a federated international NGO structure, and is the WaterAid international member responsible for managing country programs in South East Asia and the Pacific.

Overview

WaterAid Australia is seeking a highly motivated and experienced Capacity Development Coordinator. to support the rollout and effective uptake of a new Programmes System. The Programmes System, an IT solution which is in the final stages of development, will support the management of funding opportunities, contracts, quality and safe project management, and monitoring of project impact. The Programmes System will also provide data and insight to inform management decision making.

The Programmes System is being developed by WaterAid Australia and WaterAid UK, with the view of it becoming a Global Programmes System. The Global Programmes System is utilising the Amp Impact solution. Development of the Programmes System began in August 2022 and will go live in May 2024.

Job purpose

The role is responsible for working with the Project Team to lead readiness activities, and the effective rollout and uptake of the Programmes System to users across Australia and in WaterAid’s country programs in Cambodia, Papua New Guinea and Timor-Leste.

The successful candidate will support the implementation of readiness plans, and will contribute to the development and delivery of training courses and guidance materials for the Global Project. In addition, they will be responsible for developing tailored materials to support system users to utilise the system for WaterAid Australia processes. The successful candidate will work with functional specialists to ensure process documentation is up to date and that tools are accessible and tailored for end users.

Training delivery will be a mix of in-person workshops, including a Train the Trainers workshop in Asia, and online sessions, tailored to different audience needs. This will inform part of a comprehensive package of learning activities which may include peer mentoring, train the trainer, action learning, staff exchanges, and a Community of Practice.

The role will be part of the Program System Project Team, and will have regular engagement with team members based in Melbourne, Phnom Penh, Islamabad, and UK.

Key accountabilities include

Support the implementation of country specific readiness plans

  • Support the implementation and monitoring of tailored engagement and readiness plans across Australia, Cambodia, Papua New Guinea and Timor-Leste. Work with senior leadership to ensure buy-in and support for engagement plans.
  • Provide reporting and updates to leadership as required, and escalate any challenges in a timely manner.
  • Actively work to champion, build awareness and understanding of the Programmes System across the organisation, promoting the project and maximising organisational wide engagement.
  • Coordinate regional Readiness and Rollout Forums, providing opportunities for peer support and learning.

Contribute to User Acceptance Testing

  • Support the testing of the System to ensure it meets requirements
  • Through engagement in User Acceptance Testing, identify actions to strengthen training approaches, guidance and delivery.

System user guide development

  • Collaborate with colleagues to support the development of a user guide for the Amp Impact solution
  • Work with business process owners to develop tailored guidance, to align with WaterAid Australia processes

Lead training for users

  • Develop training plans and manage deliverables against the plan, ensuring effective engagement with internal stakeholders and functional specialists.
  • Develop the plan for the rollout training and capacity building in WaterAid Australia managed country programs, ensuring effective delivery and on-going evaluation.
  • Prepare and deliver training, including ‘Train the Trainer’ workshop, end-user workshops, on-line and hybrid sessions for a wide range of stakeholders.
  • Support and mentor individuals identified as rollout trainers and super-users.
  • Work with Country Program Rollout Teams to support them to develop training plans, and provide remote support to implement cascade raining.
  • Evaluate the effectiveness of capacity building initiatives, identifying areas for continuous improvement.

Project team support and participation

  • Provide support to the Global Project team as needed and requested.
  • Join Project Team meetings as required.

Physical Environment and demands

Ergonomic work stations within an open plan office, standing desks, recreational area and flexible work environment. Some overseas travel will be expected in this role, notably to lead training in May 2024 in Asia.

Given the Project Team is working globally, it is expected that some working hours will be anti-social. Flexible working hours will be available to compensate for this.

Proposed location of the role will be in Melbourne, Australia; or, Phnom Penh, Cambodia. All applicants must have right to work, there will be no sponsorship provided for the role.
