The Purchasing Officer role is to order and maintain levels of products that are essential for Greenham Tasmania day-to-day operations. You will review prices and quality and ensure optimal stock levels. As a Purchasing Officer you will have to create and maintain good relationships with key suppliers to ensure the supplied items are of high quality and delivered on time. Issuing safety equipment and monitoring warehouse stock will be part of your daily routine. Continuing to communicate with the supervisors in different areas around the plant to maintain the stock levels the factory requires year round. Ensuring all supervisors are wary of their lead times and product expiry dates on items held in storage.
Key Responsibilities:
- Compare and evaluate offers from suppliers:This involves not just comparing prices but also assessing factors like product quality, delivery times, payment terms, and supplier reliability to ensure the best value for the organization.
- Track orders and ensure timely delivery: This includes closely monitoring the progress of orders from placement to delivery, to meet delivery deadlines.
- Review quality of purchased products: Beyond simply receiving orders, the Purchasing Officer must inspect and assess the quality of the products received, ensuring they meet the organization's standards and specifications.
- Enter order details into internal databases: Accurate and thorough documentation is crucial for effective inventory management and financial tracking. The Purchasing Officer is responsible for meticulously recording all order details in the organization's databases.
- Maintain updated records of purchased products, delivery information, and invoices: This involves keeping comprehensive records of all purchasing activities, including product details, delivery dates, quantities received, and invoices.
- Monitor stock levels and place orders as required: By continuously monitoring inventory levels , the Purchasing Officer can anticipate demand and proactively place orders to ensure adequate stock levels without excessive overstocking.
- Coordinate with warehouse staff to ensure correct storage: Effective communication and collaboration with warehouse personnel.
Skills &Qualifications:
- Good knowledge of vendor sourcing practices: This entails conducting thorough research to identify potential vendors, evaluating their capabilities and reliability, and maintaining productive relationships to secure favorable terms and conditions.
- Experience with computer systems, namely Dynamics 365 Business Central: Proficiency in utilizing the organization's chosen software platform is essential for efficient order processing, inventory management, and data analysis.
- Understanding of supply chain procedures: This involves having a comprehensive understanding of the end-to-end supply chain process, including sourcing, procurement, logistics, and distribution, to effectively manage purchasing activities within this context.
- Solid analytical skills, with the ability to create usage reports and conduct product forecasting: Analyzing historical data and trends enables the Purchasing Officer to generate reports and forecasts, guiding decision-making and resource allocation.
- Negotiation skills on replacement items should supplies be affected: In situations where the availability of certain items is compromised, strong negotiation skills are crucial for securing suitable alternatives at favorable terms to minimize disruption to operations.
- Obtain Certificates and SDS information on new and used products: Ensuring compliance with regulatory requirements and safety standards.
- Coordinate with QA for any trials on equipment and materials: Collaboration with the Quality Assurance (QA) department is essential for conducting trials and tests on new equipment and materials to ensure they meet quality standards and specifications.
- Communicate with fellow Purchasing Officers at other sites: Sharing information and best practices with colleagues at other locations facilitates coordination, efficiency, and consistency in purchasing processes across the organization.
- Monitor accommodation and pool car bookings for visitors: This involves overseeing arrangements for accommodation and transportation for visiting stakeholders, ensuring their needs are met and facilitating smooth logistics during their stay.
- Chep pallet control and ordering: Managing the supply and return of CHEP pallets requires careful tracking and coordination to optimize pallet utilization and minimize costs.
