ABOUT THE ROLE…

The Purchasing Team Coordinator is responsible for coordinating team activities such as the generation of quotes, sourcing of vehicles, completing contract amendments or managing the delivery of vehicles to SG Fleet's customers. The role provides daily guidance and support with on-the-job training, offers advice on the handling of complex tasks, uses a structured approach to problem solving and process improvement, and where required, effectively delegates task whilst managing/ensuring their completion. The Purchasing Team Coordinator supports the team with their expertise through training and support and the customer experience through their work to address and resolve complaint tasks. The position is also responsible for the regular auditing and analytical reporting duties.

TASKS AND RESPONSIBILITIES…

  • Managing the daily workload across the team including the prioritisation of 'older' requests, emails and activities to ensure completion within required timeframes. Take immediate action to reduce backlogs
  • Establish and maintain courteous and productive relationships with all suppliers, customers (both internal and external) and team members
  • Develop and implement a target timeline based on KPIs and desired outcomes, that the team can follow and monitor adherence to in order to measure progress towards the team goals
  • Provide guidance, instruction, direction and leadership to the team for the purpose of achieving key results. This includes assisting with the day to day running of the team and be the first point of escalation
  • Manage the customer complaint handling process and ensure issues are addressed appropriately with relevant stakeholders
  • Identify improvement opportunities and support their resolution from investigation through to implementation

SKILLS AND EXPERIENCE

  • Extensive experience in a customer service role - professional and courteous customer service skills
  • Experience of fleet management products, services, systems and processes (if promoted from within)
  • Experience in engaging and negotiating with internal/external suppliers and customers
  • Strives for process consistency and service improvements
  • High integrity and extensive understanding of professional ethics
  • A collaborative and engaging working and leadership style to align with the Department's Purpose, Vision and Value
