The About
We're seeking someone to share the administration load; an individual with heaps of personality and someone who takes pride in behind-the-scenes work and loves contributing to others' success. Your efforts certainly won't go unnoticed in this small, lively environment.
The Tasks Ahead
Candidate Management:
- Dive into the candidate database and manage both clients and candidates through the recruitment process
- Organise pre-screening and interviews for candidates and team members that align with client requirements
- Keep the talent pipeline flowing, managing Temp/Contract/Labour Hire availability
Job Vacancy Management:
- Craft enticing job adverts and strategically place them across various media.
- Be a pro at spec CVs, marketing candidates, and expertly shortlist CVs in response to job orders.
Mine Site Mobilisation:
- Onboard employees, including booking of medicals, inductions, training and PPE and mobilising to site
- Efficiently manage site mobilisation procedures
- Foster strong relationships with site personnel to facilitate client site clearances
- Ensure accurate and prompt execution of all mobilisation documentation
- Maintain timely communication with stakeholders throughout all processes
- Coordinate site inductions as needed
- Handle the issuance and ordering of new personnel PPE, and maintain accurate stock records
- Update rosters and personnel records in collaboration with the HR/Payroll team and clients
- Review employee qualifications and ensure compliance with pre-mobilisation requirements
- Monitor the progress and compliance of individuals mobilising to projects accurately
Additional Responsibilities:
- Take care of all administration duties, from identification to reference checks
- Keep records in line with legislative requirements
While you'll work very closely with the team, your role allows for autonomy at times, so we're looking for a highly motivated self-starter. Your focus on client and candidate support is crucial, and your positive attitude is your secret weapon. Exceptional attention to detail is a must, and being a jack-of-all-trades in office Administration is a big plus.
What would put a smile on our faces in your resume is:
- Proven administration experience and the ability to be proactive to changing client needs
- Proficiency in utilising different apps for the purpose of admin support (Zoho Suite, Google Apps, Trello etc is favourable but not essential)
- Ensure compliance with all Recruitment administration functions
- Extremely well organised with attention to detail and the ability to prioritise and delegate tasks
- Confident in using LinkedIn, Seek and social media platforms for job creation and candidate sourcing
- Understand that mobilisation process schedules, therefore, must be available outside of standard business hours for emergent work
- Email management A high level of interpersonal, written and verbal communication skills with a strong ability to multi-task and meet deadlines for different clients and projects
- Ability to engage with internal proactively and external stakeholders
- Possess a positive can-do, bubbly attitude, be a team player, self-driven and highly motivated to succeed
