Job description

Registration Officers (APS 5)

These positions perform a variety of core registration functions in a busy and diverse museum environment within the Collection Care and Management team. They work to coordinate and support collection management activities relating to:

-         Static and travelling exhibitions including exhibition installation and deinstallation.

-         Loans and digitisation programs.

-         Collection transport and logistics, storage maintenance and improvements, auditing, object packing and creating, internal object movements, collection access, and associated documentation.

-         Collection acquisitions and exhibition development. 

-         Other museum priority projects as required.

They also take the initiative to proactively lead and/or contribute to the improvement and modernisation of collection management practices, processes, procedures, and storage environments; coordinate established work programs; and may manage staff junior to them as well as contractors.

Deputy Registrar, Project Coordinator (APS 6)

This position will play a key role in project management and coordination across the conservation and registration functions within the Museum including, but not limited to gallery and collection storage redevelopments, major static and touring exhibitions, and a range of efficiency and modernisation projects.

The role will be embedded in the Collection Care and Management Business Unit, directly managing a small team, and leading a range of diverse project teams to ensure effective delivery of collection services and priority projects. The responsibilities of this role vary in scope, scale, duration, and complexity and could include coordinating collection display, installations, deinstallations, collection logistics, storage improvements, domestic and international loans, documentation, collection auditing, and co-ordination of conservation services.

What will the successful candidates bring to the roles?

For theRegistration Officers (APS 5)

As the successful candidate, you will have knowledge, training and/or demonstrated experience working within a museum environment. You will understand and be able to apply best practice collection management standards and principles and have safe and well-developed collection handling experience. 

You will be able to work productively and co-operatively in a team environment but also work under limited supervision with capacity to coordinate established collection management work programs. You will be flexible and responsive in a high paced and ever-shifting museum environment and will apply well developed analytical skills to identify and resolve key issues, requirements, and risks.

You will actively seek opportunities to improve registration services and practices with a view to achieve efficiency, effectiveness, and modernisation with an outward and forward-thinking approach. You will also demonstrate a practical understanding of work health and safety and be able to apply this to your day-to-day work. 

For the Deputy Registrar, Project Coordinator (APS 6)

The successful candidate will have excellent project management, planning and coordination skills and demonstrated experience applying these skills within a busy museum or equivalent environment. Knowledge and experience in collection management principles and contemporary practice, as well as legislative and regulatory requirements, is essential to be effective in this role.

You will enjoy working collaboratively with others and have demonstrated experience coordinating concurrent activities and can effectively liaise with a range of internal and external stakeholders. You will have a pragmatic approach to collaborative problem solving and can prioritise your work and the work of your team to deliver quality outcomes and meet deadlines across multiple programs.  

You are an adaptive leader who can apply a variety of communication and leadership approaches to suit changing circumstances and environments. You have demonstrated your skills in fostering positive morale and workplace attitudes in a diverse working environment, particularly during times of ambiguity, deadline pressures and shifting priorities. You understand the importance of actively and purposefully developing your team and how to bring about improvements in knowledge and practice across the business unit and wider organisation.

You apply well developed analytical skills to identify and resolve key issues, requirements and risks. The successful candidate will actively seek opportunities to improve services and practices with a view to progress work health and safety benefits, business efficiency, and modernisation with an outward and strategic thinking approach. 

You will bring a strong customer service focus to the role, ensuring that a positive stakeholder experience is central to all activities and programs. You have effective communication skills and can demonstrate your capacity to influence outcomes while fostering productive working relationships. You are confident speaking with professionals, contractors and staff of all levels and can navigate and resolve conflicts that result in the best outcomes for the organisation.

Selection criteria

Applicants must respond to each of the following selection criteria and include contact details for two referees in their application.

1.     Demonstrated understanding and practical application of principles, standards and regulatory requirements for collection management within a museum or equivalent environment, as well as experience in the operational aspects of a museum Registration section including museum object documentation; object loans; collection transport, storage, packing and logistics; exhibition preparation and installation; and safe object handling.

2.     Well-developed analytical skills, including the ability to innovate and problem solve, and the capacity to apply these in a museum or equivalent environment.

3.     Well-developed communication, interpersonal and stakeholder engagement skills, including the ability to present accurate and clear information. 

4.     Relevant project management or coordination experience and proven capacity to deliver project, work program or activity outcomes, and to manage resources in an environment with shifting priorities. 

5.     Demonstrated effective leadership skills and staff management experience and/or the capacity to coordinate established work programs, functions, or activities.

6.     Knowledge and understanding of Workplace Health and Safety, risks and hazards in a museum environment and capacity to apply this to risk assessment and management practice.
