Our client, in health/aged care, has an opportunity for an experienced, friendly individual to join their team in Western Sydney. This diverse and pivotal role will see you utilising every aspect of your rostering / scheduling and HR admin experience to deliver on workforce planning initiatives.

Key accountabilities of this role include:
 
Roster Management:

  • Assist the Facility Manager in the preparation and maintenance of costed Master Rosters and compliance with workforce budgets. 
  • Allocate and assign staff to shifts ensuring that industrial agreement, employment contracts, visa restrictions etc are taken into consideration. Backfill shifts as required. 
  • Maintain accurate, timely, and complete record management within the rostering system.
  • Monitoring & maintenance of all attendance and absenteeism within the roster including unavailability in the roster, and unplanned absences, to ensure staffing needs are met, and necessary care is provided to our residents.
  • Ensure communication of any roster changes within the legislative requirements.
  • Provide reporting to the operation on exceptions and clear exceptions daily.
  • Perform pay period close each fortnight in a timely manner to ensure all staff are paid correctly and on time.
  • Review all staff in pay period close to ensure accuracy and payments are in line with relevant Awards or EBAs.
  • Develop and maintain a suite of reports and dashboards for the Facility Manager to assist in analysis of workforce trends.
  • Be the point of contact for all employees for rostering queries.
  • Assist with the investigation & reconciliation of variances between roster, timesheet and payroll.
Recruitment and Onboarding:
  • Work with Facility Manager to identify vacant positions and complete requisition for the employment process.
  • Assist the hiring Facility Manager in coordinating interviews.
  • Undertaking reference checks of preferred candidates.
  • Complete pre-employment probity checks including checking proof of ID, and collecting signed copies of Statutory Declarations, visas, registrations and police clearances.
  • Ensure all mandatory new starter training is complete.
  • Ensure required system log-on and password access have been set up and advised.
People and Culture:
  • Coordinate the scheduling of all workforce training & development.
  • Ensure compliance to mandatory workforce competencies & qualifications, and workplace conditions are met, in accordance with employee contracts, and Enterprise Bargaining Agreements (EBA).
Skills you’ll need to succeed
  • 2 years' experience in a Workforce Planning, Rostering, or HR Administration role.
  • Advanced computer literacy, including experience using Microsoft Office applications such as Word, Excel and PowerPoint.
  • Experience with scheduling and attendance systems (EMPLIVE desirable)
  • Self-motivated person with high levels of initiative and ability to work autonomously.
  • Ability to establish rapport with people from diverse backgrounds and age groups.
  • Demonstrated ability to maintain confidentiality and privacy.
  • Ability to understand and apply Awards and Enterprise Agreements
  • An awareness of, and sensitivity to, the needs of older people.
  • Excellent verbal and written communication skills.
  • Outstanding attention to detail.
