This is a three (3) months fixed term full-time position commencing Term 3, 2024 with possible extension (18 months) and/or permanency

The Full Time Equivalent (FTE) for this role may be negotiable for the successful applicant.

Quinns Rocks Primary School (PS) is seeking an organised and dedicated School Officer to join their team. At Quinns Rocks PS we CARE. These are our new school values of Connection, Aspiration, Respect and Excellence.

The first 4 minutes of anyone’s experience in a school makes a lasting first impression, 95% of the time this is the person that the see in the front office. The successful applicant will ideally model effective quality customer service and administrative support service to the school administration team. Responsible for maintaining school databases, records, and management information systems, along with social media and parent communication applications, to ensure accurate and up to date communication and information.

You will provide customer service and operate a range of software packages. Knowledge of SIS Integris, RM Billing and RM Finance, Microsoft 365 (formerly Office), would be desirable.

With a friendly and welcoming disposition, you will ideally model effective and quality customer and administrative support service delivery and use excellent interpersonal and communication skills to work in collaboration with the administration team, allied professionals, teaching staff, students, and our school community. Responsibilities in these roles will include assisting with financial processes and reconciliation of billing systems, payment and receipt of accounts. Administrative functions relating to buildings, grounds, minor works, faults/routine maintenance would part of this role, as will management of student enrolment applications and maintaining school records, physical recording of assets and resources, and administrative support to other corporate services functional areas as required.

You should possess strong organisational skills in delivering and prioritising tasks when under pressure, have an eye for detail and high level of accuracy.

This role could grow and promotion with possible acting roles within a higher level may be possible.

This selection process will initially be used to fill the above vacancy. Applicants assessed as suitable during this selection process may be considered for other similar vacancies that occur throughout our school for up to 12 months following this initial appointment. This includes circumstances where this position becomes subsequently vacant should the successful applicant decline or vacate the advertised position. 

To be suitable for this role, you will need to demonstrate the following work related requirements (selection criteria):

  • Experience in providing effective administrative support with the ability to organise and prioritise tasks effectively.
  • Experience in financial processes and procedures, including the handling of debtors, creditors, reconciliations, and /or preparing financial returns.
  • Ability in using computers and a range of application software packages, particularly databases, spreadsheets and word processing.
  • Good verbal and written communication skills and experience in the application of customer service principles and practices.
  • Good interpersonal skills and ability to work unsupervised and in a team environment

Eligibility and training requirements

Employees will be required to:

  • provide evidence of eligibility to work in Australia for the term of the vacancy;
  • consent to a Nationally Coordinated Criminal History Check and obtain a current Screening Clearance Number issued by the Department of Education’s Screening Unit prior to commencement of employment;
  • obtain or hold a current Working with Children Check;
  • complete the Department’s induction program within three months of commencement;
  • complete the Department’s training in Accountable and Ethical Decision-Making within six months of appointment and every three years thereafter;
  • complete the Department’s Aboriginal and Torres Strait Islander cultural awareness online course within 3 months of commencement;
  • complete any training specific to this role required by Departmental policy.

The Department applies a four (4) day breach period to this selection process.
