Job Title: School Officer: Administration, Finance and WHS

Classification: School Officer – Level 3   

FTE:1.0 FTE

Accountable to: Finance and Operations Managers

Regular Hours: Monday – Friday, 8:00 am – 4:00 pm

Recreation Leave: To be taken during December / January school holidays or other term breaks, avoiding peak financial deadlines (Audit and EOFY)

Primary Objective:

Under the direction of the Finance and Operations Managers, provide a high level of support for the administration, Finance and WHS operations of the College and be responsible for a number of processes including, but not limited to: general administration, payroll support, human resources, audit preparation, reporting and WHS

Administration:

  • Provide a safe and secure environment to all students, and have a strong personal commitment to uphold the Catholic Ethos and Mission of the College.
  • General administration duties including: front desk back up, filing, archiving, responding / directing incoming phone and email communication from college stakeholders.  
  • Support the Administration Team with the delivery of service including major College events outside of regular hours (as required)
  • Work as a member of the Finance and Administration Team.
  • Provide administration support to the College Leadership Team as directed.
  • Undertake relevant project work as required and any other duties as directed by the Operations Manager.

Human Resources:

  • Prepare letters of appointment, contracts, statements of service, and any other relevant employment documentation.
  • Maintain employees’ personnel files.
  • Support with the tracking and allocation of leave entitlements in accordance with the Collective Enterprise Agreement and the Catholic Education Northern Territory (CENT) administration system. 
  • Ensure all employees undertake initial and ongoing induction and compliance training, ensuring records are maintained on the employee’s personnel file.
  • Maintain up to date knowledge and information on relevant industrial awards, regulations and other employment conditions.
  • Maintain and ensure Teacher Registration, Working with Children and Police Checks are current and financial at all times for all employees.
  • Complete reporting requirements as required to meet compliance. 

Payroll:

  • Coordinate documentation with the College Finance Manager and the Payroll Team at CENT for the fortnightly and ad hoc payroll. 
  • Ensure all documentation is maintained to standards for payroll, reporting and audits.
  • Coordinate and maintain records for superannuation, ATO, salary sacrifice, and any other payroll payments / deductions. 
  • Complete and process post payroll tasks. 
  • Proactively communicate with all employees (maintaining records) at matter pertaining to payroll processes. 
  • Process and issue all documentation associated with payroll and be the point of contact for any payroll enquiries.
  • Reconcile end of month and end of year payroll, clearing accounts and deduction accounts as part of payroll processes.
  • Assist in the preparation and processing of returns: annual STP and any other related return. 
  • Undertake various reporting on employee information as required.

Finance: 

Assist the Finance Manager with:

  • Account receivables functions including: student billing and debt collection.
  • Centrelink / ABSTUDY financial processes in consultation with Community Engagement Officer. 
  • Any other duties as assigned by the Finance Manager    

WHS Coordination: 

Reporting through the Operations Manager:  

  • Coordinate the College’s (including Boarding) WHS processes in accordance with College, CENT and jurisdiction legislation and polices. 
  • Ensure WHS claims are submitted in a timely manner and any payments are processed.
  • Undertake the duties in accordance with the CENT Food Safety Supervisor role.
  • Coordinate a range of WHS training, online learning, and drills for College staff and students for compliance and to maintain a safe environment.
  • Collate and provide support with the development of risk assessments for College activities.
  • Support the Property Manager with WHS testing and compliance visits. 
  • Collate and respond to all Safety Notification Forms. 
  • Update and distribute WHS documentation as required.
  • Collate CENT WHS reports. 
  • Where directed, investigate WHS matters and provide reports to the Principal.
  • Coordinate school WHS meetings and attend CENT WHS network meetings.
  • Undertake regular inspections of the College and identify strategies to minimise risk.

Selection Criteria:

Essential 

  • A commitment to support and contribute to the ethos, mission, vision and identity of the College.
  • Be a fit and proper person to work in Finance and a Child Safe environment including undertaking a National Police Clearance and maintaining a current Northern Territory Working with Children Clearance (Ochre Card).
  • Qualification in Finance, Business, Human Resources or related field.
  • High level interpersonal skills with the ability to communicate appropriately, effectively and professionally with a range of stakeholders from a diverse range of backgrounds.
  • High developed organisational, time management, and communication skills (written and oral).  
  • Ability to build trust and maintain confidentiality of sensitive information.
  • Ability to work in accordance with College, system and jurisdiction policy, processes and legislation. 

Highly Desired:

  • Experience using Tech One, Excel as well as the capacity to learn the student management system.
  • Current (or willingness to acquire): WHS, First Aid, CPR, Food Safety Supervisor, Anaphylaxis and Asthma certifications

This position involves working with children. The appointment of the successful applicant will be subject to satisfactory employment screening for child-related employment in accordance with legislation.
