Job description

Are you an experienced administrator with a knack for tender management and support? We're seeking a skilled individual to join our dedicated high performing team as a Senior Office Administrator. In this role, you'll play a pivotal part in ensuring the smooth operation of our office, while also supporting our tender management processes and providing essential assistance to our technical teams as part of our small tender management team.

Reporting to the Business Support Discipline Leader, the key responsibilities of this role will include:

  • Contributing to the overall production of tenders including managing the entire bid process, document preparation, bid submission, and post-bid activities, while ensuring compliance with all requirements and deadlines.
  • Collaborating closely with the business support team, project managers, and key stakeholders to gather and organise all necessary bid-related information and documentation.
  • Developing and maintaining a comprehensive bid tracking system to monitor and manage all bid submissions, ensuring accurate and up-to-date records of all bid-related activities
  • Facilitating effective communication among internal teams and external partners, fostering a collaborative environment that promotes the successful delivery of high-quality, competitive bids.
  • Assisting in the preparation of compelling proposal content and presentations, emphasising the company's unique value proposition and capabilities to potential clients.
  • Compiling all documentation, proof reading and assisting in the preparation of submissions for approval.
  • Receiving tender notifications and distributing to relevant internal stakeholders.
  • Assisting with writing, updating and maintaining tender library templates.
  • Ensuring the rest of the team has adequate support to work efficiently.
  • Project support, inclusive of setting up projects, document control, editing, formatting, and collating of engineering reports, proposals, letters, and CVs.
  • Other general administrative tasks that may include booking of conferences and travel for staff, managing and generating invoices, maintaining office upkeep and cleanliness, generating internal performance reports, and assisting with the implementation of Quality Assurance and Business Management Systems.

Qualifications and Skills

  • Proven experience as a Senior Office Administrator or similar role, preferably in the engineering or technical industry
  • Experience managing and supporting tender submission processes
  • Excellent communication, interpersonal and problem-solving skills
  • Understanding and application of software and tools required for the role (MS Office products including Outlook, Word, Excel and Project)
  • Ability to develop fit-for-purpose, creative and innovative solutions
  • Ability to develop concise, clear, and accurate documentation
