About the Role
We have an exciting opportunity for an experienced Service Administrator to join Cavpower, the Caterpillar Dealership for South Australia. This role is responsible for providing high quality service to all customers quickly, efficiently, in a friendly and professional manner and to contribute to the successful day to day operations of our Power Systems, department based at Wingfield. Also assist other departments as required.
Reporting to the Manager Commercial Engines, you will also be responsible for:
- Contact new customers to inform them about Cavpower
- Conduct follow up calls to customers at the completion and invoicing of work orders for On-Highway Truck Centre, Power Systems.
- Time entries into Servicelink and Payroll
- Enter job notes into Servicelink and reports as required for customers
- Raise purchase orders, process invoices and receipt purchase orders
- Assist Manager Commercial Engines and Manager Energy and Transportation with quotes and reports as required
- Assist with invoicing monthly work orders and standard work orders
- Arrange uniform and stationary orders and manage inventory
- Arrange travel requirements when required
- Enter invoice data into Customer Portals weekly or as required
- Update engine sales information for new equipment
- Open monthly work orders for certain customers as required
- Update annual leave spreadsheet from leave forms and email to Payroll department
- Enter all leave on Servicelink
- Book staff training as required and enter on Servicelink
- Check monthly work orders for outstanding Purchase Orders
- Update training matrix for qualification upgrades
About You
An effective, organised, and well communicated Service Administrator, you will approach everything you do with energy, drive and a commitment to excellence.
Your Skills
To achieve the required criteria, you will need to bring your experience to the fore. This includes:
- Certificate 3 or 4 in Business Administration (desirable)
- Current and Valid Driver’s Licence
- Previous experience in administration support position preferably in a trade or heavy industry
- Excellent customer service skills; both written and verbal
- Proven experience in providing administrative support to a Service division
- Intermediate to advanced computer skills – Word, Excel and Power point
- Ability to demonstrate a high level of time management skills
- Display a self-motivated and disciplined approached to work
- Ability to multi-task coupled with good time management skills
