Job description

We are looking for an experiencedSite and Culture Coordinator to join our People and Culture Team at ABI Interiors on a part-time basis. This multifaceted role requires strong organisational skills, attention to detail, excellent interpersonal skills and the ability to handle a variety of responsibilities effectively.

What You'll Be Doing:

  • Oversee facility maintenance, including cleaning, landscaping, air-conditioning, pest control, locksmiths, and communication connections.
  • Act as a point of contact for any facilities-related issues or questions.
  • Implement maintenance schedules and ensure they are carried out as planned.
  • Coordinate office repairs, renovations, and commission or decommission new facilities.
  • Be well-versed in office security and related procedures.
  • Liaise with real estate agents to oversee lease agreements, ensuring smooth transitions and adherence to lease terms and obligations.
  • Handle communication with the broader company relating to any facility-related projects or incidents that may impact daily operations.
  • Consulting on facility-related projects.
  • Liaising with other site managers to ensure continuity across the business when it comes to facilities.
  • Monitor inventory levels and reorder supplies such as kitchen groceries, cleaning products, stationery, internal technology, etc.
  • Source invoices from suppliers and assist the finance team with reconciling.
  • Liaise with vendors and suppliers to negotiate contracts and pricing agreements.
  • Track spending and prepare reports for leadership/management.
  • Approve requests for low-value items and fulfil ad hoc order requests for other sites.
  • Ensures a consistent employee experience by supporting People and Culture processes and maintaining a safe, productive and inspiring physical work environment across our three markets, AU/NZ and the UK.

About You

  • Relevant education in Business Administration, Office Management, or a related field.
  • Proven experience in office management, facilities coordination, or related administrative roles.
  • Strong organisational skills with the ability to prioritise tasks in a fast-paced environment.
  • Excellent communication and interpersonal skills to interact effectively with employees and multiple stakeholders.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Ability to adapt to changing priorities and handle confidential information with discretion.
  • Experience in communicating with teams working remotely and coordinating facilities requirements for remote locations.
