The Student and Academic Support Officer is responsible for providing high quality administrative and services support within the College/Campus across a broad range of academic and student services and administrative functions. The position acknowledges the interdependence of Student and Academic related matters, the importance of front counter student facing activities and back-office administration. The designation of particular activities will be subject to Campus requirements and may change over time.
Required Responsibilities:The Student and Academic Support Officer is to be the student contact person and to support the needs of students and provide advice where possible or else refer students to appropriate services in the community in accordance with the College’s Policies and Procedures.
· Overseeing the front desk, answering student enquiries, listening to student complaints, concerns and difficulties arising at the college or outside the college
· Provide accurate and helpful information to participants by phone, in person or by email, process enquiries and enrolments, provide log-in information and assist participants in their set up of the LMS, liaise with Lecturers/ Tutors regarding participant issues and LMS, ensure extra resources are ready for teachers.
· Review and prepare Learning Management System (LMS) courses every semester, update end-of-semester grades management process.
· Manage subject selection process pre and post arrival for both new and continuing students.
· Monitor the completion of subject selection process by students and follow up with them directly to ensure timely completion of tasks. Manage and update the start and exit list for each intake and update the Student Progression Register accordingly.
· Liaise with the Academics and inform students when their academic performance conditions are not being met and follow relevant procedures.
· Engage in the Academic Administration and Student experience teams, assisting with tasks as required in peak periods (e.g. student registration and induction, examination, beginning and end of semester processes, etc.)
· Maintain student records, preparing files, providing fee payment information etc.
· Work with NAPS Senior Executive and other staff to effectively identify and manage regulatory and compliance risk relating to the governance of NAPS as a non-university higher education institution. Advise the Senior Executive team on any emerging reportable events to maintain the Academy’s registration and good standing. Oversee the preparation of the elements of the Annual Reports to Regulators and annual audit of the Academy’s governance and operations.
· Undertaking project work to plan, develop and coordinate new and continuing initiatives to assist in the recruitment of students and widening participation activities.
· Follow TEQSA procedures and policies.
· Any other responsibilities as directed by the Administration manager, Director of Studies/ Training Manager, CEO, or any other Department Heads.
· Any other works which are related to academic and administration and not specified in this document.
The person we seek will ideally have the following:
· Experience in using Meshed Higher-Ed Education Management System and Moodle platform.
· Work experience in higher education, in a commercial setting
· Demonstrated ability to meet deadlines and deal with competing priorities.
· Excellent attention to detail, including proofreading and editing skills.
· Demonstrated ability to relate well to students and professionals.
· Ability to independently resolve routine problems and issues.
· Sense of responsibility and commitment to education
· IT literacy (e.g. Microsoft Package, Outlook, student information system or database, or customer relationship management systems) and experience
· Excellent communication skills
· Must be able understand and demonstrate sound understanding ESOS National Code.
