About You

As the successful candidate you are well presented, confident, approachable and have a very reliable work ethic. You have excellent attention to detail and the ability to prioritise tasks and manage time effectively without direction. Your customer service skills are unfaultable, people are drawn to your infectious personality.

This is a fast paced role where your “can do” attitude will inspire those around you. Multiple deadlines don’t faze you and neither do menial tasks required around the studio. You are calm and collected under pressure and you believe there are no road blocks, only solutions.

You are meticulous in keeping your studio well-presented and efficiently run for visitors and employees alike.

  • Over 3 years of experience in similar role
  • Excellent organisational skills
  • Ability to plan your work but prioritise tasks in order of urgency
  • Excellent communication skills in both written and verbal form 
  • Strong administration skills willingness to go the extra mile
  • Ability to prioritise tasks and manage time effectively 
  • A positive, can-do attitude and pro-active willingness to learn 
  • Strong computer skills - experience with Outlook, Microsoft Office, Word, Excel and PowerPoint are essential 
  • Previous experience working in an Architectural / Design environment is an advantage

About the Role 

Our Sydney Studio has an exciting Full time opportunity for a Studio Receptionist / Assistant. This role is varied, rewarding and focused on quality customer service and administration support. 

This position requires a well-organised, friendly and professional individual with excellent communication skills. You will need to be able to prioritise tasks and manage your time effectively, providing quality management and coordination of the front of house area by ensuring clients, visitors and staff are welcomed warmly with all needs met in a prompt, friendly and efficient manner.

Key Responsibilities: 

  • Welcoming of visitors & clients, handling enquiries pleasantly and efficiently 
  • Handling of incoming calls and enquiries by phone, internet, email and mail
  • Maintaining meeting rooms, communal spaces, print room and kitchen – ensuring they are fully stocked and tidy at all times 
  • Supporting the Studio Support Manager 
  • Coordinating the booking of meeting rooms, equipment and catering, and setting up any functions 
  • Assisting with travel arrangements, managing Outlook calendars, and providing administrative support such as typing and document formatting.
  • Managing the procurement of all necessary supplies for the studio, ensuring adequate stock levels are maintained.
  • Overall administrative / secretarial support including diary management, travel bookings, AmEx reconciliation and uber reconciliation
  • Mail collection and distribution,
  • Tenant liaison with building management
