SC7    One of the core responsibilities of schools is to keep children safe.  Ministerial Order 870 and the Victorian Registration and Qualifications Authority, (VRQA) outline the responsibilities of schools for child safety. 

What is your understanding of the standards and how can you support the implementation in your role?

Role

Classroom Support

  • Check progress reports for students who are on behaviour/homework cards
  • Contact and follow up on students and parents who have not completed work requirements
  • Interpret attendance data ¿ students who have missed classes during the day -contact with teachers/Head of Sub School/parents.

Communication:

·         Answering Sub School reception phones and attending to student needs

  • Identifies students that have significant attendance issues and bring to attention of head of Middle School/SWC
  • Pro actively phone families of students identified as being ¿at risk¿ to ensure that the student is encouraged and supported to attend school
  • Assist transition co-ordinator with tours and information evening including booklets, information to parents and schools.
  • New students: Prepare packages, arrange interviews/follow up as required

Records Management

  • Issue student passes.
  • Maintain relevant student records.
  • Maintain attendance data ¿ contact with parents.
  • Prepare Presentation night certificates and program.

Maintenance of school resources;

  • Ensure identified risks regarding equipment, resources and facilities are reported to appropriate personnel within the school
  • Prepare equipment for teacher and student use

Other Typical duties

·         Follow suspension process including, completing suspension form on a school level, mail out, input into Compass attendance and CASES 21

  • Administrative tasks such as photocopying for Sub School, data entry
  • Typing minutes of meeting
  • Sourcing materials
  • Assisting with Co-ordination camps/events run by Sub School
  • Co ordinating surveys/testing
  • Preparing Middle school handbook
  • Assist in the preparation of NAPLAN
  • Duties as directed by Sub School leaders
Responsibilities
  • Provide routine clerical or other administrative support responsibilities including general telephone, front office enquiries, mail deliveries, assisting with stock control, supporting organisation of meetings, receiving and initial processing of standard paperwork
  • Maintain, enter and retrieve data from the schools IT systems, such as the school's records system, including computerised student, staff and school records
  • Maintain and update office records, enrolment data, diary records, and basic written records
  • Support or coordinate the preparation of standard routine internal and external communication according to school procedures (e.g. form letters, newsletters)
  • Source basic data or factual information from given sources to support school administrative functions, e.g. books, reports, manuals, catalogues, tables, forms, etc.
  • Coordinate the delivery of administrative services within the school
  • In consultation with the Assistant Principal, determine and manage work priorities within the Sub School office
  • Develop and implement strategies to ensure effective administration procedures
  • Coordinate the implementation of requisitioning, purchasing and issuing procedures
  • Manage client reception and office operations
  • Liaise with school staff in regard to support requirements

Conditions of Employment

This vacancy is to replace an employee on parental absence and is for a period of seven years or until the employee absent on leave returns to duty at the school.
