Due to our growth, we are presently seeking an experienced professional ‘Tender Coordinator’ to be based at our Homebush West, Sydney national head office.
THE ROLEThe primary function of the role is to assist the National Tender Specialist to source, coordinate and prepare all national tenders for submission with assistance provided by branches, salespeople and management where required.
Responsibilities
- Pulling together tender documents and submitting by due date.
- Assist Tender Specialist to develop and maintain a library portfolio of prewritten, commonly used content that would be inserted into tender documents as well as other company collateral.
- Manage and maintain all subscribed external tender portal requirements.
- Manage and action all emails in the Flick Tenders mailbox on a daily basis.
- Be the primary communication conduit for all tender portal notices, alerts and events.
- Record and maintain detailed tender registers and data logs / reports.
- Maintain visible tender SharePoint pages/files which are to be accessed by staff and management across the company.
- Ensuring that the tender register and SMAX (sales pipeline software) is continuously updated to reflect the current status of tenders.
- Reviewing and updating tender document templates on a regular basis for review by the Tender Specialist.
- Reviewing and sending tender contracts to our internal legal team to review, ensuring that departures are followed up on so they can be submitted by the due date.
- Completion of ‘Expression of Interest’ and adhoc questionnaire responses with the assistance of the Tender Specialist.
- Continuously reviewing and Identifying any gaps on tender portals and ensuring we are on every applicable tender portal.
- Liaising with the relevant company departments on an ongoing basis to ensure all our documents are up to date (insurances, certifications etc).
- Liaising with the internal sales team, branches, and clients for updates on open tenders.
- General sales support tasks / projects.
