Timetabling Coordinator, (Student Administration)

ABOUT THE ROLE

Student Administration at the University of Notre Dame provides expertise, service and operational support nationally across a broad range of student administration, student service and key regulatory, policy and compliance functions that support the academic decisions of the Faculties, Schools and other relevant Offices at the university. This includes Timetabling, Enrolment, Student Fees, Graduation, Examinations and other compliance and student administration functions.

Reporting to the Senior Team Leader Student Administration, the Timetabling Coordinator is responsible for the overall operational planning and delivery of the Academic and Examination timetable across all campuses of the University. The Timetabling Coordinator may have 1-3 direct reports nationally.

The successful applicant will be required to:

  • Lead direct reports and work with colleagues across the University to develop and deliver the academic and examination timetables at the University in accordance with the University’s Timetabling Principles.
  • Support the enrolment process of the university ensuring that courses are timetabled to accommodate student preferences where possible.
  • Support the recruitment and enrolment strategies of the university, ensuring that timetables are developed and published in line with recruitment timelines, enrolment scheduling and academic governance processes.
  • Negotiate with Schools, Faculties, Offices, Academics and other areas of Student Administration to resolve timetable problems and efficiently utilise space for teaching activities.
  • Develop and maintain processes to ensure data integrity of class allocation applications and systems.
  • Establish and maintain collaborative working relationships with key operational teams such as IT and Campus Services to effectively integrate with other areas to provide excellence in scheduling outcomes.
  • Monitor and report on class sizes and advise on effective seating availability for on campus teaching activities.
  • Coordinate and provide ongoing training and support to direct reports and to Faculty/School staff involved in timetabling.
  • Lead the improvement of timetabling systems and processes.
  • Strong support for and commitment to service excellence and customer services.
  • Assist with administrative and student record updates, referred student enquiries and front counter support as requested by Team Leader.

ABOUT YOU

  • Completion of a degree with subsequent relevant work experience, or an equivalent combination of relevant experience and/or education/training.
  • Experience leading a hybrid team working with competing priorities to deliver exceptional outcomes (Desirable).
  • Proven working knowledge of timetabling, preferably in tertiary or other education sectors.
  • Experience using PeopleSoft Campus Solutions and timetabling applications such as CELCAT, Allocate+ (Desirable).
  • Demonstrated expertise using large scale networked information systems, databases, timetabling systems, student allocation systems, spreadsheets and word-processing software including data extraction and report presentation and the ability to maintain accurate records.
  • Strong time management and organisational skills, with a proven record of managing multiple work tasks, meet tight deadlines and maintain accurate records.
  • Ability to collaborate across multifunctional teams, providing a high level and responsive service.
  • Demonstrated high level analytical and problem-solving skills including exceptional attention to detail.
  • Demonstrated ability to meet deadlines, organise and prioritise work in collaboration with other staff.
  • Demonstrated high level of interpersonal and verbal communication skills, including the ability to liaise with management, and colleagues to establish effective professional relationships.
  • Demonstrate ability to exercise sound judgment, initiative, diplomacy, tact and discretion as well as proven experience handling sensitive and personal information in a confidential and appropriate manner.
