Treatment Coordinator

Embrace Orthodontists, renowned for being Canberra's leading orthodontic practice and its most experienced Invisalign provider, is on the lookout for an enthusiastic individual with a flair for communication and relationship-building. Our practice is characterised by its innovative approaches and commitment to delivering world-class orthodontic services across our three locations in Canberra. We're growing rapidly and need someone passionate about dental healthcare or keen to enhance their skills in a specialist setting.

This role is crucial as you will be the first point of contact for all new patients, guiding them through their treatment journey. You'll collaborate closely with our doctors to prepare treatment plans and quotes, leverage CRM software and Microsoft Excel to monitor leads and conversions and ensure seamless communication between our sales and reception teams for scheduling and treatment updates. Furthermore, you'll assist the Business Manager in refining patient onboarding processes and implementing promotions, alongside managing ongoing customer relations to ensure exceptional care.

Key Responsibilities:

• Assisting in the development of treatment plans and providing quotes.
• Tracking leads and conversions using CRM software and Microsoft Excel.
• Collaborating with sales and reception teams to manage patient scheduling and information.
• Supporting the Business Manager in optimizing the new patient process and promoting services.
• Ensuring high-quality, ongoing relationship management and customer care.

What We're Looking For:

Proven customer service experience with a strong emphasis on effective communication and relationship-building.
Excellent time management skills and the ability to organize and coordinate sales processes efficiently.
A motivated self-starter, comfortable with meeting KPIs to enhance productivity.
Experience in teamwork and contributing to business outcomes.

*Experience in a dental or healthcare setting is a plus but not required.

This is a hybrid role, blending in-office interactions with various administrative tasks, allowing for a dynamic work environment.
