Position Overview

The Volunteer Coordinator will be responsible for facilitating our volunteer program's smooth operation while supporting various administration aspects of our organisation. This position demands a highly organised individual with excellent communication skills, a passion for sustainability, and the ability to work effectively with volunteers, staff and stakeholders. The Volunteer Coordinator will oversee a range of tasks related to volunteer management, program coordination, and administrative support.

Key Responsibilities:

  1. Volunteer Coordination: Confidently coordinate groups of volunteers while serving as the spokesperson for TreeProject, facilitating induction and conveying the organisation's mission and values. Provide support to volunteers in person, in calls, and in written form.
  2. Organise Group Volunteer Events: Seek and schedule volunteers, organise meals, book rooms, ensure WHS policies are adhered to, be the point of contact for volunteers on the day and prior, organise materials, organise workflow of volunteers.
  3. Volunteer Follow-Up: Coordinate distribution of information and follow-up with volunteers for timely updates and problem-solving.
  4. Volunteer Enrolment & Training: Review volunteer EOI, onboard, and allocate to appropriate assignments.
  5. Volunteer Tracking: Monitor and track volunteer activities for reporting and accountability.
  6. Material Ordering: Order, organise, and coordinate delivery of materials for volunteer kits.
  7. Administration: Provide administrative support to the TreeProject manager, maintain records, file management, create templates and processes, and provide accurate reporting.
  8. Drop Offs & Collections: Using your own vehicle deliver materials, post supplies, pick up adhoc supplies, in Metropolitan Melbourne and surrounds.

  3. Intermediate Computer Skills: You are proficient in Microsoft Word, Excel, PowerPoint and enjoy learning new systems.
  4. Excellent Communication Skills: You have strong & confident verbal and written communication. You effortlessly develop positive relationships.
  5. Strong Organisation: You have a high attention to detail and effective task & time management skills.
  6. Passion for Sustainability: You have a genuine interest in the environment and the work we do in sustainability.
  7. Supportive & Collaborative: You have the ability to work well independently and as part of a team.
  8. Adaptability & Problem-Solving: You are flexible and able to come up with ideas to problem solve and inspired by continuous improvement.
