What this job involves:
We are seeking a Workplace Coordinator/ Facilities Administrator to join our team on a casual basis! In this fast-paced role you will provide comprehensive administration, reception & workplace coordination for all FM On Demand clients.
A snapshot of the role:
Ensure vendors are well-managed, delivering services on time
Assist FM On Demand team & clients with administrative duties
Implement, comply with and audit all internal management systems, for quality assurance
Create and maintain a welcoming environment by greeting and assisting all visitors, staff and employment candidates
Provide general reception services by answering and routing all incoming calls, responding to general office emails, tendering to voicemails and public inquiries
Perform general office administrative tasks such as creation of word documents, spreadsheets, publications, and signage for the office
Serve as a liaison between office staff and Facilities Management in service requests
Process orders and maintains inventories on all general office supplies, facilities equipment, and supplies
Carry out, report and record monthly and quarterly inspections and ensure accurate remediation of defects or any non-compliances

If you're a self-starter, goal oriented and love building client relationships then this is the role for you! You've got excellent communication skills and a strong customer service focus. You adopt a hands-on approach to problem solving and can juggle multiple tasks in a dynamic workplace meeting all performance targets. You think on-the-go and can collaborate with multiple stakeholders with ease.
Proficient in English and communications via Telephone, email and Microsoft suite of product
Experience in Receptionist roles and able to provide support on short term basis
Ability to deal with a variety of complex issues concurrently, within tight operational deadlines.
High numerical skills with the ability to manage details and develop systems for contract financial management
Sound computer skills including Microsoft suite Microsoft Word, Access and Power Point etc
