What this job involves 

The Workplace Coordinator/Corporate Concierge will drive an exceptional client team member experience in every interaction, whilst delivering a range of on-site workplace related services.

This role plays a pivotal role in providing authentic service experiences that bonds the relationship between JLL, our client and their guest. 

As the first point of contact they are responsible for welcoming employees with genuine hospitality and thoughtful services.

  • Proactively builds rapport with clients (at the respective level) and ensures to meet their needs to minimise escalations.
  • Support the delivery of internal general service for our staff across a range of different disciplines including Property, Facilities, ergonomics, emergency preparedness, event management, desk and parking booking, meeting rooms, AV/VC issues and general building orientation.
  • Ensure adherence to IAG workplace guidelines to create a welcoming, safe, and productive workplace.
  • Build strong relationships with all stakeholders, respond to feedback, assist in the co-ordination and delivery of day to day running of office premises.
  • Display flexibility in availability to ensure coverage on all conference centre floors and maintain work standards during high volume workloads.
  • Provide guidance to our people on navigating self-service functions for technical support such as Security, Safety, and IT issues.
  • Ensure meeting room floors are maintained in a pristine and clutter-free way, ensure rooms are set up ready for each booking and liaise with suppliers of catering, AV etc. to streamline the service offering.
  • Utilise stakeholder relationships to identify possible opportunities to expand service offering, e.g.: project delivery, trade self-delivery services and take steps to promptly raise this with Line Manager for further consideration and potentially client discussions.
  • Manage the mailroom and deliver administration & logistic support, enhancing the employee experience of our colleagues through our onsite services and business administration support.
  • Drive digital influence within all departments, providing the option of scanning all incoming mail/cheques to a digital mailbox and maximising the digital distribution of the maximum types of correspondence.

Interested?  An ideal candidate would need to have the following qualifications

Desired experience and technical skills 

  • Well-developed interpersonal skills and ability to manage relationships with key stakeholders, including managing expectations (essential)
  • Well-developed time management and project management skills, ability to meet deadlines and coordinate others to meet key milestones (essential)
  • Experience in hospitality, hotel management or high-end corporate concierge
  • Prior experience to manage meeting room services is an advantage
  • Proven experience with continuous improvement initiatives and client reporting
  • Must present a professional and friendly corporate image to clients.
  • Proficiency with Microsoft Word, Excel and PowerPoint.
  • Good command of verbal and written English
